Position Summary
We are currently seeking a Bilingual (English/Spanish) Scheduler / Administrative Coordinator to join our front office team!
This role is vital in ensuring smooth day-to-day clinic operations. The Scheduler will oversee appointment management, client check-ins, and communication between families, therapists, and directors. The ideal candidate is organized, detail-oriented, fluent in both English and Spanish, and thrives in a fast-paced, team-based environment.
Key Responsibilities
Scheduling & Coordination
Manage and maintain therapist and client schedules in EMR.
Schedule and reschedule appointments, make-up sessions, and new client intakes.
Update and track initial appointments, renewals, and authorizations across EMR calendars and notes.
Communicate with therapists regarding authorization status and scheduling updates.
Front Office & Client Communication
Greet and check in clients upon arrival, ensuring attendance is accurately recorded.
Communicate effectively with families in English and Spanish regarding appointments, cancellations, and clinic updates.
Coordinate new client referrals and assist with onboarding.
Administrative Support
Communicate absences, cancellations, and schedule changes.
Coordinate interpreting services (must be pre-scheduled).
Ensure a positive, welcoming experience for families and visitors.
Qualifications
Bilingual in English and Spanish (Required)
Excellent communication and organizational skills.
Strong attention to detail and ability to manage multiple priorities.
Professional, empathetic, and team-oriented attitude.
