Responsibilities:
• Supervise the creation of pre-production decks and event bibles.
• Manage programs of varying sizes, from concept to execution, for both virtual and live events.
• Lead strategy and creative brainstorming sessions, transforming ideas into comprehensive activation plans.
• Assist with event strategy and budget planning.
• Handle contract negotiations, bid management, and estimates while ensuring projects remain within budget.
• Maintain and strengthen client relationships, determining event specifics and managing client expectations.
• Oversee all aspects of events, including activities, staff coordination, reporting, and post-event evaluations.
• Organize and conduct site inspections, as well as client and vendor walk-throughs.
• Manage team and individual budgets, tracking and auditing all event-related expenses.
• Supervise payment schedules and collaborate with accounting for payment processing.
• Source venues and vendors, negotiating contracts where necessary.
• Create timelines, event schedules, and other essential production documents.
• Handle multiple projects simultaneously, from initial planning to final execution.
• Secure required permits and documentation for events.
• Be available for work during weekends and holidays when needed.
• Identify and mitigate risks across various projects.
• Keep informed of industry trends that influence client solutions.
Qualifications:
• 5+ years of managing teams.
• 10+ years managing large-scale brand or studio events, covering everything from from concept creation to execution, including meetings, conferences, and virtual events.
• 5+ years of experience working closely with design teams to develop creative for large-scale event activations.
• Strong relationships in fabrication, promotions, design, virtual platforms, production, and staffing across key markets such as San Francisco, Los Angeles, Las Vegas, and New York.
• Experience handling budgets ranging from $100,000 to $5 million.
• Exceptional interpersonal, analytical, negotiation, influencing, facilitation, organizational, decision-making, and conflict resolution abilities.
• Skilled in MS Office, Google Drive, and similar tools.
• Strong technical production knowledge and skills.
• Open to domestic and international travel up to 30%.
• Diverse Event Management: Extensive background in handling a variety of event types, including festivals, brand activations, conferences, in-office and virtual events, trade shows, and influencer events.
• Stays calm and applies logical solutions in high-pressure situations.
