Job Introduction
We now have an exciting opportunity for someone to join our Events and Training team as a Senior Events Co-ordinator (maternity cover). In this role you would be responsible for the planning, co-ordination, marketing, hosting and promoting of high profile Chamber of Commerce events.
Job Description:
POST: Senior Events Coordinator (Maternity Cover)
REPORTING TO: Head of Events and Training
GRADE: £26,287 - £29,094 (FTE)
LOCATION: Worcester
WORKING HOURS: 37 hours contract (Flexible working arrangements can be discussed)
FIXED TERM CONTRACT: Until 31st March 2027 to provide a period of maternity cover
Main responsibilities:
1. To be responsible for the allocated Networking Events/Webinars (circa 35), Conferences (circa 4) and Business Leaders Events (circa 6) including;
Venue management, budget negotiations, hosting and facilitating, research and arranging speakers, securing sponsors, organising catering and equipment, ensuring target attendee numbers are met through proactive marketing, producing prep materials, delivering post event actions, raising purchase orders and uploading information into Dynamics, the Website and Outlook.
2. To attend, host and run events, being the main point of contact ensuring a smooth delivery, including ensuring attendees are welcomed and well looked after, managing dietary and catering expectations, managing and introducing speakers, managing a consistent brand message, promoting relevant Chamber Services and dealing with adhoc issues.
3. To provide secondary support to the Events and Training Manager for the Chamber Business Award, Chamber Business Expo’s and Patron and Business Leaders Events. This includes being part of the planning groups/meetings, on site support on set up/live days, researching new ideas, proactively selling Awards Tickets and Expo Stands, managing Award Force and assisting with the Awards Judging and Shortlisting process.
4. To use targeted methods of proactive sales to encourage Members to book onto events, ensuring timely follow up and maximising sales and revenue opportunities, via the events inbox, personal invites, telephone, at other events, and social media.
5. To visit member companies who are potential venues to assess suitability and discuss arrangements for hosting Chamber Events.
6. Designing flyers, pamphlets and banners for events as required by the team, via Canva.
7. To perform any other duties required within the Events and Training Department.
Ideal Candidate:
1. Proven experience of working within a senior events role.
2. Proficient in the use of Microsoft Office.
3. Proficient in use of Canva & LinkedIn.
4. Drive, initiative and enthusiasm.
5. Professional credibility with high levels of personal motivation.
6. Ability to communicate confidently at all levels (verbally and in writing).
7. Ability to manage a range of different tasks with developed time management skills.
8. Ability to work on own initiative with minimal supervision.
9. Results driven.
10. Customer focussed.
11. Flexibility with regards to working hours as this role includes early mornings and later evenings.
Mobility:
1. Ideally a car owner with full driving licence
