Purpose
Executive Assistant works to support a larger team to offer administrative and program support. They perform general office duties and essential tasks for the wider team. Various tasks include organizing and uploading files, generating reports and sending out emails. Some of the materials the Executive Assistant prepares include case studies, brochures. buyer personas, white papers, and analytics reports. Executive Assistant also supports the groups annual conference and provides sales and product support for the business.
Key responsibilities:
Support team member administrative functions
Manage and upload various files on SharePoint
Business cards; other office duties (from remote location)
Expense reporting for team members
Travel arrangements for team members
Coordinating office visits for team and client meetings; office space reservation
Participate on team calls on a weekly basis
Conferences/events
Provide support for invoices and documentation
Payments for speakers and vendors (paying fees/expenses)
Assisting our petcoke conference in various capacity as needed by our event coordinator, such as registration table set up and duties (involving travel to US)
Coordinates client meetings at our conference (over 75 meetings across three rooms over five days)
Stewardship of conference presentations (ensure organized, working, chase speakers)
Client administration - Provide customer support regarding subscription inquiries around product, service, costs, and information
Obtaining compliance audit on new customers
Interfacing with legal team on client legal issues (entities, terms, etc.)
Monitor websites inbox and answer customer inquiries
Marketing - Emails from Petcokes.com
Maintaining Worley Insights LinkedIn account/page, uploaded announcements, articles, etc.; informing others when to repost
Worley Insights operations
Uploading customer facing deliverables to various web platforms
Editing various reports pre-publication (format requirements)
Performs other related duties as assigned
Social media support
Assists in creating marketing content, including blog posts, social media posts, newsletters, and promotional materials
Follow up on leads and approve group member requests
Create, manage and inform team of posting frequency and social activities
Key Candidate Attributes:
At least three to five years of experience in similar back-offices processes
A B2 or C1 level of English is essential
It is important to have a US visa
Availability to travel and work in a hybrid mode
Microsoft suite of products and experience is highly preferred
Experience collaborating with cross-functional teams such as product owners, operations, end users and internal/external procurement departments
Effectively communicates (verbal and written) expertise to senior management, peers, team members and customers; facilitates communications across multi-party activities
Candidate will be expected to develop a high level of collaboration of Houston office administration, such as facilities personnel, security, and other Worley Consulting administrative assistants; candidate will need to become an expert at internal processes related to the role, such are travel arrangements, expense reporting, etc.
Must have good business acumen about when to answer questions directly with clients and when to bring in the appropriate business line leaders
Comfort with multitasking in a deadline-driven environment
Understanding of basic business and marketing concepts
Familiarity with social media, social networking, email marketing, and search engines
Strong writing and editing abilities
Experience with Adobe Creative Cloud (Adobe Photoshop, Adobe InDesign) is a plus
