Responsibilities
The Senior Executive Assistant is responsible for providing executive, administrative, and analytical support to the Vice President of Institutional Advancement
The selected candidate coordinates administrative functions on behalf of the vice president while maintaining confidentiality, business acumen and adherence to university policies and procedures
Additionally, this position will support various core administrative support areas within the Office of Institutional Advancement
Manages and directs office services, including correspondence, travel, personnel actions, purchasing, records management, scheduling, meeting support, and other items as needed
Provides administrative support to the vice president, including drafting and managing correspondence and communications, compiling reports, maintaining records and other documents, and managing the executive's calendar
Schedules and coordinates meetings for the vice president, including drafting agendas, preparing materials, taking minutes, and providing oversight for venue, agenda and technology needs
Tracks and reconciles departments expenditures, and reviews budget reports to recommend and develop budget modifications
Coordinates travel arrangements for vice president and department leadership
Greets visitors and manages communication to appropriate parties
Identifies and recommends improvements for administrative procedures and implements changes as appropriate

Position Overview

The Senior Executive Assistant is responsible for providing executive, administrative, and analytical support to the Vice President of Institutional Advancement. • The successful candidate will demonstrate knowledge in project planning and management and can work under pressure, adjusting to change, managing multiple tasks, and coordinating the work of others.
• This position will manage complex records, assemble and organize data of complex nature, and prepare and submit reports in acceptable formats.
• The successful candidate will conceptualize, plan and organize multiple programs and assignments and work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• This is a front-facing position, and the candidate must demonstrate the ability to develop and maintain outstanding working relationships with internal and external constituents.
