Join our events team as a Senior Executive, Event Operations (B2B Events)
Please note: There is a defined salary bracket for this role. We kindly ask that you review the experience requirements carefully before applying. Candidates with higher experience profiles will not be shortlisted. Prior event operations role is mandatory.
We are seeking a highly organized and detail-oriented Event Operations Executive to join our dynamic team. The ideal candidate will have a passion for event planning and a keen eye for operational excellence with a proven of 2-3 years of experience in B2B events/conferences ops.
Office Location- Koregaon Park, Pune | Timing: 10 am-7pm (Mon-Fri, Onsite)
Key Responsibilities
Event Planning & Coordination:
• Assist in the planning, coordination, and execution of B2B events in Middle East & APAC region.
• Work closely with the team to develop and implement event logistics, including venue selection, layout planning, and vendor management (existing and partner with new ones).
• Coordinate with internal departments to ensure all event requirements are met.
Vendor Management:
• Source and negotiate contracts with vendors, suppliers, and service providers.
• Manage relationships with vendors to ensure timely delivery of services and materials.
• Coordinate pre-event, onsite and post event to ensure seamless experience with event vendors-Act as the primary point of contact for all on-site vendors and suppliers, managing deliveries, installations, and services.
• Ensure all vendor obligations are met, and troubleshoot any issues that arise on the day of the event.
On-Site Event Management:
• Oversee on-site event operations, including setup, registration, and logistics.
• Coordinate with vendors, suppliers, and venue staff to ensure timely and efficient setup.
• Monitor guest flow and manage crowd control to ensure a smooth and enjoyable experience for all attendees.
• Address any attendee concerns or issues promptly and professionally.
• Lead and manage on-site event staff, including volunteers, ensuring they are properly briefed on their roles and responsibilities.
• Ensure all AV equipment, lighting, and other technical setups are functioning properly.
• Health and Safety Compliance are followed
Budget Management:
• Assist in the preparation and management of event budgets.
• Track and report on event expenses to ensure adherence to budget.
Communication:
• Serve as a primary point of contact for event-related inquiries
• Communicate effectively with speakers, sponsors, and attendees to ensure a positive event experience.
• Engage with registered attendees through personalized communications, providing event details, and encouraging participation in networking opportunities. Address any queries or concerns from attendees promptly and professionally.
Post-Event Activities:
• Conduct post-event evaluations and gather feedback to improve future events.
• Prepare detailed event reports and analysis for review.
• Post event communication with speakers, sponsors and media partners.
Qualifications:
• Bachelor’s/Master's degree in Event Management, Hospitality, Business Administration, or a related field.
• Proven 2-3 years experience in event planning and operations, preferably in a B2B conference setting.
• Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
• Excellent communication and interpersonal skills.
• Proficiency in event management software and Microsoft Office Suite.
• Ability to work independently and as part of a team.
