Job Description
We are seeking a highly experienced Senior Office Assistant to join our team. As a Senior Office Assistant, you will provide administrative support to senior team members and coordinate various business operations.
Main Responsibilities:
• Manage correspondence, including phone calls and mail.
• Schedule appointments and communicate information to team members and clients.
• Take notes, prepare memos or letters, and screen mail.
• Proofread documents before sending them out of the office.
Bill Payments and Claims Processing:
• Process claims and reimbursements, including travel, mobile, and vendor payments.
• Monitor payments towards mobile, credit cards, rents, and other bills to ensure timely payments.
• Update statements and payment receipts.
Filing and Document Management:
• Perform general duties, including photocopying, mailing, and filing.
• Maintain files for bills, invoices, payment receipts, and timelу file them.
• Maintain client-wise records, correspondence, acknowledge copies, agreements, and contract files.
Travel Arrangements:
• Arrange for travel requirements, including hotel bookings, air tickets, car bookings, and airport transfers.
• Pass on details to the team member on time, and hand over hard copies of tickets or travel documents in an organized manner.
• Submit travel requisition forms to the Admin team.
Office Administration:
• Fill vouchers for team members or seniors, submit them to finance with relevant documentation, and collect dues from finance.
• Make timely payments for their bills.
• Maintain confidentiality.
Required Skills and Qualifications:
• Excellent communication and organizational skills.
• Ability to maintain confidentiality.
• Proficiency in Microsoft Office.
