Job Description
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency in office software, and the ability to handle multiple responsibilities in a fast-paced environment. Experience in medical or dental offices is a plus, but not mandatory. The Receptionist will play a vital role in maintaining smooth spa operations and ensuring a welcoming atmosphere for clients and staff alike.
Responsibilities
Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems, directing calls appropriately with excellent phone etiquette
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
Perform data entry and maintain accurate records through filing and database management
Handle incoming and outgoing correspondence, including emails and mail distribution
Assist with administrative tasks such as proofreading documents, organizing files, and managing office supplies
Support bookkeeping activities using QuickBooks or similar software when necessary
Provide customer support by addressing inquiries promptly and professionally
Maintain a clean and organized spa to promote a professional environment
Coordinate with other departments to facilitate smooth office operations
Qualifications
Proven clerical or administrative experience, preferably in a medical or dental office setting
Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry systems
Experience with multi-line phone systems and front desk operations
Excellent organizational skills with attention to detail and accuracy in proofreading and filing tasks
Exceptional customer service skills with professional phone etiquette
Ability to handle multiple tasks efficiently in a fast-paced environment
Basic bookkeeping knowledge using QuickBooks is desirable but not required
Prior experience in medical or dental offices is a plus but not mandatory
High school diploma or equivalent required; additional administrative training is advantageous
