JOB SUMMARY:
Reporting to the Spare Parts Manager for the efficient operation of the Spare Parts Department. This may
be accomplished through providing assistance to internal and external Spare Parts customers through
workshop and counter sales, customer service tasks, ordering, monitoring, pricing and invoicing.
KEY DUTIES AND RESPONSIBILITES:
The key duties and responsibilities of this role include, but are not limited to:
Develop & utilise specialist knowledge to interpret customer parts requirements via phone, email or
in person and supply or order necessary parts as required.
Attend to technician parts requests from the workshop and charge out accordingly.
Manufacture hydraulic hoses as required.
Perform a range of tasks including the receipt, storage and delivery of spare parts and accessories.
Update parts inventory records as required.
Consult with Spare Parts Manager regarding changes to pricing and provide appropriate information
to management regarding sales opportunities.
Query with suppliers unexpected increases in part or freight charges.
Assist with receival of freight and check off parts ordered when received & deliver to the workshop as
required.
Manage Missing Masters, including rectifying problems & discrepancies & report as required.
Manage dealer part returns & report as required.
Assist with inventory maintenance, including stocktake, pricing, stock level indicators, Paccar
quarterly returns.
Assist with the achievements of monthly budgets & goals.
Customer Service:
Meet internal & external customer requirements for product quality, specification & delivery.
Respond promptly to requests for service and assistance both internally and externally.
Receive telephone calls related to the Spare Parts Department.
Communicate with customers to determine their exact needs.
Refer enquiries to the relevant managers and personnel as necessary.
Ensure customer service matters are dealt with promptly and efficiently.
Recommend appropriate parts, advising of approximate costs & arrival date, including any additional
related products and promotions.
Notify customers of arrival of goods.
Sell parts to customers over the counter (counter & workshop)
Inventory Management:
Assist with stock orders to maintain a level of stock that adequately services our customers.
Make suggestions as to those items which you feel should be held as stock items.
Examine any returned parts and arrange exchange or refund. Process, pack and return items in a
timely manner, ensuring credits received.
Assist to perform comprehensive stock-take & cycle checking on a regular basis.
Liaise with Spare Parts Manager continuously on stock levels & upgrading.
Assist with evaluating new product requirements.
Maintenance of Plant & Equipment:
Maintain a clean & tidy work area.
Ensure office equipment is operational, replace toners, paper, etc as needed. Report any problems
to the IT Administrator as necessary
Comply with procedures related to the use of shared facilities eg. staff room, toilets, motor vehicles
etc.
Marketing:
Provide assistance to the Marketing team with advertising specials & the promotion of stock
parts specials (through quarterly newsletters, messages on hold, Facebook page, Website etc).
Assist with overseeing parts display to ensure clean & attractive areas.
Record Keeping:
Open Repair Orders for work – if required.
Prepare quotes/invoices for customer requirements.
Create computer generated purchase orders for all supplies/services requested
File all documentation and information into relevant folders and files.
Receipt cash, cheque or credit transactions.
Maintain comprehensive & current stock inventory.
Assist in the development of procedures describing the function of the work area.
Complete & process warranty parts requests.
Control incoming & outgoing warranty parts & refer to Warranty Department as required.
Check off all parts ordered as they are received.
Training:
Attend training as required, (including tradeschool blocks if applicable).
Ensure all theory work is done to the very best of your ability and completed according to timelines.
Consult with your Trainer/Supervisor re any problems.
Undertake self-development activities
Staff Relationships:
Liaise with Spare Parts Manager regarding Department requirements.
Share equal responsibility in increasing team productivity by showing initiative and communicating
effectively.
Work with and assist apprentices as required.
Contribute to internal committees (ie First Aid, Fire Warden, OH&S, etc) – if applicable.
Maintain a Professional Standard:
Participate in at least one day of training per year related to the work area.
Participate in an annual feedback forum and other quality control activities.
Follow company policies and procedures and maintain confidentiality of company affairs and
customer/staff details.
Attend meetings as required.
Constantly evaluate individual performance to ensure maintenance of a satisfactory standard in all
areas of work.
Treat all people with the utmost respect, work ethically & with integrity.
Identify and resolve problems in a timely manner and develop alternative solutions.
Wear company uniform at all times during work hours.
Work Health, Safety & Welfare:
Work in a safe manner, ensuring all safe work procedures & company policies are adhered to at all
times to maintain your own health & safety and a duty of care to others.
Do not intentionally or recklessly interfere with or misuse anything provided at the workplace in the
interests of health, safety or welfare.
Immediately report any hazards or unsafe practices to the Workshop Manager or Work Health &
Safety Co-ordinator.
Wear PPE when required.
Attend OH&S meetings as required.
KPI'S:
Spare Parts phone calls to be answered within 3 rings.
Deliver parts to workshop in a timely manner
Respond to customer enquiries quickly & efficiently
Participate in parts callout & Saturday morning rosters
Submit necessary orders on a daily basis
Dealer returns submitted within 30 days with zero rejections.
Missing masters to be kept below XX items.
Meet monthly parts budgets
QUALIFICATIONS AND EXPERIENCE:
Parts Interpreter Certification (preferred)
Experience in the automotive / heavy vehicle industry and knowledge of products and parts inventory
(preferred)
Sales Experience (preferred)
Current Forklift License (preferred)
Current Driver’s License.
