Job Description
The Downtown Belleville BIA is currently seeking an outgoing, enthusiastic, and organized individual between the ages of 18-30 for the position of Special Events Coordinator as part of the Canada Summer Jobs grant. This is a unique opportunity to gain experience in event planning and execution, business communication, membership relations, and to learn more about Downtown Belleville while working in a non-profit organization within a multi-stakeholder environment.
As the Special Events Coordinator for Downtown Belleville, you will learn best practices for planning, executing, and delivering memorable events. You will learn the value of relationship building and how to engage with members. You will experience event execution first-hand and develop relationships with visitors to recommend activities in the downtown core. The primary focus of this role will be to provide support to the planning and execution of the summer BIA events. This position may also provide support to various businesses that are members of the BIA.
Duties / Responsibilities:
Assist in procuring entertainment for events.
Support budget tracking to ensure event success.
Promote events through various channels and create promotional materials.
Provide on-the-ground support during event days, including set-up and tear-down.
Work closely with the Executive Director to help develop emergency plans.
Assist members and vendors with event logistics.
Help to create a summer volunteer committee, including organizing meetings and supporting volunteers.
Liaise with vendors to secure services and coordinate set-up on event days.
Support event volunteers by coordinating recruitment and ensuring they have necessary information and resources.
Perform general office duties and administrative support tasks.
Qualified Applicants Will:
Possess strong communication skills (written and verbal).
Have excellent interpersonal and relationship-building skills.
Demonstrate strong organizational and time-management skills. Be able to travel to and work independently with local businesses.
Be familiar with digital technologies (e.g., web, social media, etc.).
Be proficient in tools such as Microsoft Office Suite, Google Drive, Canva, and Facebook Business Suite.
Be able to lift up to 40 lbs and be comfortable walking upwards of 10,000 steps per day.
The Position: Monday to Friday from 8:30 AM to 4:30 PM, with flexible hours when events approach and occasional weekends and evenings. Based primarily in the Downtown Belleville office, with regular errands and walking in the downtown core. Thank you for your interest in the position.
