Role Summary

The candidate will provide para-legal, data analyses, and administrative support to the WSP Global Legal Team and, under the direction of the Global Legal Team, to the Global Procurement team global professional services company. The candidate must be detail-oriented, have exceptional administrative and organisational skills and must have excellent written and verbal communication abilities in the English language. The role would be reporting to the India Senior Specialist – Legal & Procurement.

Duties & Responsibilities

A) Global Procurement Support (50% of the role)

With a view to better tracking and managing the agreements WSP Global signs with its Global Suppliers (such as start and end dates, key contractual risks, and compliance with WSP internal policies and data protection legislation), the candidate will support the Global Procurement team under the direction of a member of the Global Legal Team. Key tasks will include:

Coordinating with global procurement team members, legal team members, including specialised teams for AI, Privacy, and Information Security,
Keeping organized the central repository in a consistent and agreed format,
Supporting the Global Procurement team in general contracts management tasks, including database entries and filing of signed documents,
Assisting with Global Procurement review requests processes and Requests for Proposals (RFPs), including managing various questionnaires and forms for stakeholders,
Supporting the upcoming migration of data to the new Agiloft Contract Lifecycle Management system (CLM) Horizon-Oracle-ERP procurement supplier platform,
Responding to requests regarding contractual documentation and other related documents,
Etc.
B) Other Paralegal and Administrative Support (50% of the role):

The candidate will provide comprehensive paralegal and administrative support to the commercial and technology global legal team members. This role involves handling various requests and other administrative tasks to ensure smooth operations. Key responsibilities could include:

Assisting with the requests with regards to legal support on client-facing digital offerings,
Managing and organizing various requests from the business, including maintaining records and tracking progress,
Responding to inquiries from internal and external stakeholders, providing accurate and timely information,
Assisting with special projects and initiatives as needed,
Etc.
C) Other duties as designated by Managers, such as:

Record keeping and filing of electronic documents
Prepare and format procurement, legal and management reports
Respond to administration related queries
Manage process for execution of documents in line with company policy
Liaise with various stakeholders relating to performance of this role
Conduct follow up calls with colleagues to discuss review comments, where required
Be available for occasional evening or early morning calls with colleagues (some will be based in London (UK), Montreal and Vancouver (Canada))
Input, upload and maintain database and track progress
Perform review efficiently and on time
Legal research
Minimum Qualifications

At least three (3) years of professional experience (or equivalent educational experience) in management of government or commercial contract compliance, licensing, business ethics, or similar regulatory compliance and/or procurement matters
Ability to work as a team member and collaborate with others within the department with customer service approach to working with other departments
Must have excellent communication skills, be able to type, and be well versed in Microsoft Office Programs such as Sharepoint, Teams, Word, Excel and PowerPoint
Strong attention to detail and organizational skills
Ability to handle multiple projects in a fast-paced environment with time-sensitive and confidential workloads
Preferred Qualifications

Previous legal, Procurement or compliance department experience
Experience in Engineering and/or Construction industry would be a bonus but not absolutely necessary
