KEY RESPONSIBILITIES
1. Compliance
1.1. To create and maintain compliance tracker for all sites.
1.2. To ensure timely compliance with regards to employment laws and regulations.
1.3. To ensure that there is no adverse comment from any of the statutory bodies
1.4. Liaison with relevant authorities for licenses, permission and compliance.
1.5. Regularly do an internal audit to mitigate the risk of any non-compliance.
2. Contract Management System
2.1. To coordinate with all the departments to get the requirements of contract manpower.
2.2. To inform all the vendors on contract manpower requirements whenever there is a change in the requirements and ensure deployment accordingly.
2.3. To ensure the availability of the contract manpower.
2.4. To timely provide Paycal days to all Manpower Suppliers and ensure to have timely invoice monthly for verification thereof.
2.5. To ensure timely payouts of the salaries to the contract staff with keeping the track on the contractors that they are complied with the laws across all the locations and submit the proof of the compliances along with the invoice.
3. HR Analytic
3.1. To Collect and compile HR metrics and data from a variety of sources including the human resource staff in respective sites, payroll outputs of on roll / Contract staff and other sources.
3.2. To prepare and present various reports (Daily, Weekly, Monthly) to Head HR so as to take appropriate decision timely.
3.3. To prepare Monthly HR Dashboard for all HR activities and then present the same to Head HR.
3.4. To assist HR Head in preparation of HR & Admin budget and to have control over CAPEX and OPEX.
3.5. To ensure smooth implementation and functioning of HR online platforms.
4. Employee Life Cycle
4.1. To timely prepare all kinds of Employment Letters and to ensure issuance and record of the same.
5. Vendor Management
5.1. To maintain various vendors related activities to HR and Admin.
5.2. To maintain tracker of all agreements related to HR & Admin services for renewal, expiry and extension.
5.3. To prepare draft agreement well in advance and submit to HR Head for his endorsement.
5.4. Timely execution of agreements with vendors.
6. Payroll
6.1. To prepare monthly payroll calendar and to ensure completion of payroll activities.
6.2. To validate employee’s attendance with regards to leave, LWP, late coming and attendance regularization.
6.3. To Process payroll and provide salary input to accounts department and to ensure timely disbursement.
6.4. To Identify, investigate, and resolves any kind of discrepancies in timesheet and payroll records.
6.5. To maintain payroll reports for record keeping purposes or managerial review and compliances.
7. Time office
7.1. To ensure all the time office components are being timely updated across all the locations such as Registration of an employee, holiday master, shift master, leave master etc.
7.2. To maintain the attendance system and rectify any employee grievances.
7.3. Leave management : To maintain and verify employee leave records.
7.4. To track and monitor unauthorize absenteeism cases accordingly issue warning letters on regular interval.
7.5. To initiate disciplinary actions by issuing letters (advisory, warning) as recommended by Head HR / concern HOD
