Role Overview

The Student Services Manager provides strategic oversight, leadership, and continuous improvement of all student support functions across the institution. This role ensures a high-quality, student-centered experience from enrollment through graduation, with a strong focus on retention, academic success, job placement outcomes, and overall student satisfaction. The Student Services Manager collaborates closely with internal and external partners, leads cross-campus initiatives, and ensures compliance with regulatory standards and institutional goals.

Requirements

Minimum 5 years of experience working in student services within a private career college environment (required).
At least 3 years in a supervisory or leadership role managing student services staff.
Strong understanding of provincial private career college regulatory frameworks and compliance standards.
Experience supporting adult learners in career-focused post-secondary programs.
Familiarity with student funding programs, admissions processes, and financial aid requirements.
Understanding of retention metrics, graduation benchmarks, job placement standards, and the 70/70 rule.
Experience using student information systems (SIS) and institutional data reporting tools.
Key Performance Indicators (KPIs)

Lead the delivery of positive, productive, and customer service-driven student experiences that directly support achieving the highest possible graduation rates.

Maintain consistently high job placement rates in alignment with the 70/70 rule while strengthening employer partnerships and fostering strong student referral.

Key Responsibilities

Strategic Leadership & Program Management

Develop, implement, and oversee institution-wide student support programs including orientation, counseling, academic advising, career services, and student engagement initiatives.
Provide leadership on the use of campus systems, ensuring staff competency and consistent utilization across campuses.
Monitor, evaluate, and refine student services programs based on data, feedback, and emerging trends to meet evolving student needs.
Maintain a deep understanding of HWCC campus programs to ensure alignment between student services and academic offerings.
Lead multi-campus student success strategies and ensure consistency, quality, and scalability of programs.
Student Support & Retention

Oversee monitoring of students’ academic progress and ensure appropriate intervention strategies are in place.
Provide direction on support strategies addressing academic, personal, and social concerns impacting student performance.
Develop and implement retention initiatives, including early alerts, proactive outreach, and risk-mitigation plans for at-risk students.
Establish and track success metrics related to retention, academic achievement, and graduation outcomes; communicate risks and solutions to senior leadership regularly.
Team Leadership & Development

Lead, mentor, and support a multi-disciplinary team of student services professionals across campuses, including advisors, counselors, and support staff.
Conduct regular team meetings, performance evaluations, and professional development initiatives to strengthen service delivery and staff capability.
Foster a culture of accountability, collaboration, and excellence in student support.
Cross-Functional Collaboration & Partnerships

Collaborate with academic departments, faculty, and administrative units to ensure a cohesive and holistic student support ecosystem.
Assist with coordinating and monitoring academic operations within HWCC campuses, ensuring alignment with student support strategies.
Serve as a key liaison with Admissions, Financial Aid, and Student Support teams to maintain seamless student pathways.
Build and maintain relationships with external organizations, employers, and community resources to enhance student services and job placement opportunities.
Administration, Policy, and Compliance

Ensure all student service operations align with institutional policies, provincial and federal regulations, and accreditation standards.
Oversee review and monitoring of student eligibility requirements.
Maintain compliance with regulatory and reporting obligations, ensuring documentation, audits, and standards are consistently met.
Student Engagement & Campus Culture

Lead planning and execution of student engagement events and initiatives that build campus community and enhance student experience.
Promote an inclusive environment that supports diversity, accessibility, and student well-being.
Champion initiatives that strengthen student voice and representation within the institution.
Data Management, Assessment & Reporting

Oversee data collection, analysis, and reporting on student services, retention, graduation, and job placement outcomes.
Use data insights to inform strategic planning, program development, and resource allocation.
Prepare reports and presentations for senior leadership, accreditation bodies, and other stakeholders as required.
Qualifications

Education: Bachelor’s degree in Education, Counseling, Student Affairs, or a related field from a recognized Canadian Institution (International qualification may be considered equivalent).
Experience: Minimum of 5 years of experience in student services, customer service, or a related area, with at least 3 years in a supervisory or leadership role.
Familiarity with private career college regulations (provincial ministries, compliance standards).
Experience with student funding programs, admissions, and financial aid rules.
Understanding of retention metrics, job placement standards, and the 70/70 rule.
Experience with student information systems
