About the Role

As a Team Administrator for Mental Health & Addictions and Maternity, Child & Youth teams, you will play a key role in supporting both teams running smoothly and efficiently. On a typical day, you might be coordinating meetings, managing calendars, preparing documents, and supporting financial and contract administration. You will ensure workflows run seamlessly, helping the team deliver high-quality work on time while anticipating needs and proactively identifying improvements to processes and systems. This is an opportunity to be the organisational backbone of these dynamic teams and contributing to meaningful health outcomes.

You will also support project coordination, assist with procurement and reporting, manage office systems, and act as a point of contact for both internal and external stakeholders. Your attention to detail, confidentiality, and organisational skills will help the team succeed while allowing you to grow your expertise and make a visible impact

About the Team/Service/ Location

The Planning Funding and Outcomes (PFO) team is made up of contract managers, clinicians, programme managers and support roles with the responsibility to design and implement system improvement. We work in partnership with key partners to ensure implementation and service delivery is relevant and appropriate for our local communities through strong, collaborative, joined up ways of working. You will be part of collaborative and inclusive teams committed to improving health outcomes for our communities, valuing innovation, continuous improvement, and servant leadership, fostering a culture of learning, reflection, and high performance.

About you

As a Team Administrator, you will be a highly organised, proactive, and dependable professional who thrives in a dynamic environment. You will have the ability to manage multiple priorities with precision and discretion while supporting senior leaders and the wider team to deliver high-quality outcomes. You will be someone who anticipates needs, identifies opportunities to improve processes, and brings a solutions-focused mindset to every task.

You will bring:

Proven experience in team administration, including secretariat duties, meeting coordination, travel arrangements
Strong organisational, planning, and time-management skills, with the ability to prioritise competing demands while maintaining accuracy and confidentiality.
Advanced skills in MS Office/365 (including one drive, power-point, excel, outlook, ) and experience with supporting reporting requirements.
Experience/skilled in with making travel arrangements and booking accommodation
Excellent interpersonal, written, and verbal communication skills, with the ability to build positive relationships across all levels, including senior leaders and external stakeholders.
A proactive approach to continuous improvement, identifying opportunities to enhance systems, workflows, and team efficiency.
A collaborative mindset and commitment to contributing to a positive, inclusive, and learning-focused team culture.
Professional integrity, accountability, and discretion in handling sensitive information and complex tasks.
