How this role supports our work
Provide support to the Director – Marketing, Communications & Funding and their broad, varied team. You will provide high-level confidential administrative and secretarial support such as diary and email management in addition to a range of administrative support including processing invoices and organising travel.
As a central point for all things coordination, in this role you organise team events and meetings and proactively identify ways to offer additional support particularly in peak times.
What you will do day to day
Use your organisational skills to help ensure the Director is always prepared -this will include research and preparation for events, workshops and presentations.
Assist the Director’s direct report Leadership team with the planning and coordination of staff.
Act as a first point of contact on behalf of the Director for internal and external stakeholders directing all enquiries to the appropriate person within the team or across the organisation.
Perform financial administration duties such as procurement, supplier creation, processing invoices, raising purchase orders and monthly credit card reconciliation.
Arrange travel for the Director including flights, accommodation, and schedules.
What you will bring
Demonstrated track record in coordinating multiple diaries and schedules, as well as monitoring and analysing projects to ensure team outcomes are delivered.
Excellent organisation and administration skills, with proven ability to work independently, prioritise, use initiative and exercise discretion.
Advanced proficiency in a wide range of IT applications, including Outlook, Word, Powerpoint and Excel.
Experience working with non-government organisations and community service (preferred).
An understanding of budget processes and financial data, basic financial reporting and reconciliations highly regarded.
Sound discipline knowledge gained through experience, training or education in marketing and communications.
