About the Role

As an Team Assistant, you will play a key role in ensuring seamless operational support across your team, including administration, project support, database management, marketing and events, and HR onboarding. You will also contribute to technology and business improvement projects, making this an exciting and diverse opportunity.

Key Responsibilities

Executive Support

Schedule meetings and manage calendars

Generate and format documents, ensuring accuracy and consistency

Prepare internal and external reports

Coordinate interstate travel arrangements

Operations & Project

Work with the leadership team on business-wide projects, including:

Technology transformation

Strategic planning

Quality audits

Process improvement initiatives

AI implementation

Accounts & Financial Support

Invoice clients and follow up on outstanding payments

Process expense reconciliations

Handle weekly accounts payable processing

Database & Workflow Management

Maintain data integrity and system functionality

Generate reports and implement workflow improvements

Manage document control processes

Marketing & Events

Update website content

Draft marketing content using tools such as Canva and AI

Plan and coordinate key events

HR & Onboarding

Facilitate the onboarding of new team members

Coordinate celebrations for birthdays, anniversaries, and milestones

Act as a liaison to foster collaboration across departments

About You
