Role Description
Work Location - Dadar (W) Mumbai
A Tender Executive in the hardware industry manages the end-to-end process of bidding on government and Public Sector Unit (PSU) contracts, with mandatory expertise in the Government e-Marketplace (GeM) portal. This role requires a blend of technical knowledge related to hardware products, meticulous documentation skills, and a strong understanding of government procurement regulations.
Key Responsibilities
• Tender Identification and Analysis: Proactively research and identify relevant tender opportunities on the GeM portal and other e-procurement platforms, analyzing technical specifications (BOQ), scope, and compliance requirements.
• Bid Preparation & Submission: Coordinate the preparation of comprehensive technical and commercial bids, ensuring all documents are accurate, complete, and submitted within strict deadlines. This includes working with internal teams (sales, finance, logistics) to gather information.
• GeM Portal Management: Handle all online operations, including company registration, product catalog listing and pairing, price updates, and ensuring compliance with GeM policies.
• Documentation & Compliance: Prepare and manage essential documentation such as Manufacturer Authorization Forms (MAF) from Original Equipment Manufacturers (OEMs), technical datasheets, EMD (Earnest Money Deposit), and PBG (Performance Bank Guarantee) submissions.
• Post-Bid Activities: Manage post-order processes, including order acceptance, dispatch coordination, invoice submission, and payment follow-ups through the GeM portal.
• Coordination & Communication: Act as the primary liaison between the company, government departments, and OEMs, managing clarifications and negotiations.
Required Knowledge & Skills
• GeM Portal Expertise: Hands-on, mandatory experience with the full functionality of the Government e-Marketplace.
• Hardware Industry Knowledge: Specific knowledge of IT hardware (laptops, desktops, printers) or steel/industrial materials is often preferred to understand product specifications and OEM tools (e.g., HP IQ).
• E-Tendering Proficiency: Experience with online/offline tendering systems and government procurement processes.
• Software Skills: Strong proficiency in MS Office (especially Excel and Word for data and document formatting) and PDF tools.
• Analytical Skills: Ability to analyze complex data, interpret tender requirements, and manage multiple deadlines efficiently.
• Communication: Excellent written and verbal communication skills for documentation, negotiation, and coordination.
