Job Description
The Time Office Executive will oversee and manage employee attendance, payroll inputs, compliance with labor laws , ESIC , PF and company policies. This role ensures accurate records of working hours and fosters operational efficiency through effective time management systems.
Key Responsibilities
1. Attendance and Time Management
Monitor and maintain accurate records of employee attendance using time-tracking systems.
Manage leave records, approvals, and reconciliations (annual, casual, sick, and other leaves).
Handle overtime (OT) calculations and approvals in line with company policies.
Handle ESIC forms of new manpower
Screening and Taking Details of all manpower helping them in opening bank account
2. Payroll Input Management
Ensure accurate data entry of attendance and leave records into payroll systems.
Verify and submit payroll inputs, including deductions for late coming, absenteeism, and other relevant factors.
Coordinate with the finance team to ensure timely salary disbursements.
3. Shift and Workforce Planning
Create and manage shift schedules for various departments.
Address workforce requirements and ensure optimal utilization of available resources.
Resolve scheduling conflicts and manage shift changes.
4. Statutory Compliance
Maintain compliance with labor laws and statutory regulations, including maintaining registers and filing reports as required.
Handle inspections and audits by labor authorities and ensure timely resolution of queries.
5. Communication and Coordination
Serve as the point of contact for employee queries related to attendance, leaves, and payroll.
Collaborate with HR and department heads for workforce planning and issue resolution.
Ensure clear communication of policies and updates related to time management.
6. Reporting and Analytics
Generate and analyze attendance and productivity reports for management.
Identify trends and recommend improvements in time management practices.
Provide insights to reduce absenteeism and improve employee punctuality.
Qualifications and Skills
Education: Bachelor's degree in HR, Business Administration, or a related field.
Experience: Minimum 5 years of experience in time office management or a similar role.
Skills:
Proficiency in attendance management software and payroll systems.
Strong knowledge of labor laws and statutory compliance.
Excellent organizational and multitasking abilities.
Effective communication and interpersonal skills.
Analytical mindset with attention to detail.
