As an Operations Executive in our esteemed travel agency, you will play a crucial role in ensuring the smooth and efficient functioning of our travel operations. You will be responsible for coordinating and managing various operational tasks, collaborating with different departments, and ensuring exceptional customer service throughout the travel process. Responsibilities:
Travel Itinerary Management:
• Create, customize, and manage travel itineraries based on client requirements.
• Coordinate with suppliers, including airlines, hotels, transportation providers, and tour operators, to secure necessary bookings and services.
• Ensure accuracy and timely delivery of travel documents, including tickets, vouchers, and other relevant information.
Supplier Coordination:
• Maintain strong relationships with suppliers to negotiate rates, terms, and conditions for various services.
• Monitor and manage supplier performance, ensuring adherence to quality standards and contractual obligations.
• Resolve any operational issues or disputes with suppliers promptly and efficiently.
Customer Service:
• Assist clients in selecting appropriate travel packages and services based on their preferences and budget.
• Address client inquiries, provide accurate information, and offer solutions to any travel-related concerns or issues.
• Handle client complaints or feedback, ensuring prompt resolution and maintaining high levels of customer satisfaction.
Operations Support:
• Collaborate with the sales team to understand client requirements and translate them into well-structured travel itineraries.
• Coordinate with the finance department to ensure timely payment to suppliers and resolve any invoicing discrepancies.
• Maintain and update the travel management system and databases with accurate information on bookings, prices, and itineraries.
Quality Control:
• Conduct regular audits of supplier services to ensure compliance with quality standards and customer expectations.
• Monitor industry trends, competition, and changes in regulations to make necessary adjustments to our operations.
Requirements:
• Diploma/Bachelor's degree in Hospitality, Tourism, Business Administration, or a related field.
• Proven experience in travel operations, preferably in a travel agency or tour operator.
• Strong knowledge of travel industry practices, products, and destinations.
• Excellent communication and interpersonal skills.
• Exceptional organizational abilities and attention to detail.
• Proficient in travel reservation systems and office software (e.g., GDS, MS Office).
• Ability to work under pressure, handle multiple tasks, and meet deadlines.
