The Department of the House of Representatives is seeking applications from those interested in directly supporting the work of the House of Representatives and members of Parliament at Parliament House in Canberra.
About the department
The Department of the House of Representatives provides services to support the efficient conduct of the House of Representatives, its committees and certain joint committees, and provides a range of services and facilities for Members of Parliament in Parliament House. The department also promotes the work of the House in the community and supports the conduct of the Parliament’s international and regional relations.
About the role
The Visits Officer will coordinate less complex parliamentary delegation visits to Parliament House and assist Assistant Directors and Senior Visits Officers with incoming and outgoing visits, as required. Working with the PSL4 Office Manager, the Visits Officer will oversee the coordination of passport and visa requirements for Senators and Members and provide advice on these matters. The Visits Officer will be a team player with excellent interpersonal skills and have a high level of administrative and organisational skills. This role may require working extended or irregular hours, especially during parliamentary sitting weeks.
Duties
Support the delivery of incoming and outgoing parliamentary delegations by coordinating and delivering less complex international and domestic visit programs, and providing assistance to parliamentary strengthening initiatives as required.
Assist with the procurement and preparation of official gifts, including maintaining stock levels and updating the gift database.
Manage and provide advice on passport and visa services to parliamentarians.
Prepare correspondence, maintain the correspondence registry, and assist with coordinating briefing papers on matters related to the parliament’s international program.
Provide administrative support, including record keeping, database updates, web publishing, managing financial transactions, processing invoices and maintaining office records, and assist with the administration of Parliamentary Friendship Groups.
Position Eligibility Requirements
To be eligible, applicants must:
Be an Australian citizen;
Undertake a National Police check;
Obtain and maintain a security clearance at the Baseline Level.
