Job Summary
Hospice at Home Volunteers (HHV) was established in May 1986. We are a registered charity (294259) and we cover Dunstable, Houghton Regis and the surrounding areas.

HHV provides practical and emotional support to individuals and families in their own homes. Our volunteers offer companionship, respite and reassurance at times when it matters most to our clients and their carers.

We are now seeking a compassionate, organised and motivated Volunteers Manager to lead and develop our valued volunteer / client service and our Charity Administrator. This is a pivotal role within our charity, ensuring that volunteers are well supported, safely deployed and equipped to provide high-quality support to clients across our community.

This is more than a coordination role. It is an opportunity to shape and strengthen a service that directly impacts vulnerable people and their families — enabling them to remain at home with dignity, comfort and support.

Summary

The Manager of Volunteers is responsible for the effective organisation, co-ordination, and support of all Hospice at Home Volunteers (H.H.V.) and co-ordination and generation of our client referrals.

The post holder reports directly to the Chair of the Board of Trustees and holds an ex-officio position on the Board.

The role is office based, The Incuba, Brewers Hill Road, Dunstable, LU6 1AA, with travel to clients homes / external meetings and events as required.

The role is 20 hours a week over 5 days, Monday to Friday, with some evening and weekend events for which time in lieu will be given.

Key Responsibilities

Volunteer Management

Organise, co-ordinate, and support the work of all Volunteers
Recruit, train, supervise, and monitor Volunteers activity
Ensure annual refresher training is undertaken by all volunteers and records
annotated including health & safety, safeguarding, manual handling etc

Maintain accurate digital records of Volunteer activity, including direct and
indirect hours and expense claims

Organise and attend regular Volunteer Support Meetings
Collect and ensure the upload of monthly volunteer data sheets to digital records
Ensure all DBS checks are in place and remain current for all volunteers
Engage in monthly 1-2-1 meetings with Chair of Trustee / Vice-Chair(s)
Client Support

Visit and assess clients in their own homes
Maintain the telephone and email response service for both Clients and
Volunteers

Assign volunteers to clients and undertake regular keep in touch with both volunteer and client
Governance & Reporting

Provide regular data analysis reports to the Board of Trustees at quarterly meetings or as otherwise required
Ensure all health and safety checks are completed prior to a volunteer’s first visit to a clients home and subsequent reviews undertaken every six months as a minimum, or immediately after an incident occurs
Immediately notify the Chair of the Board of Trustees of any significant or untoward events
Hold an ex-officio seat on the Board of Trustees
Liaison & Promotion

Promote and maintain H.H.V. services through effective liaison with professional services and other H.H.V. groups
Attend appropriate community wide meetings, initiatives and opportunities to increase the awareness of others on the actions of our charity
Organise networking opportunities to increase organisational awareness of the services we provide
Compliance & General Duties

Adhere to all organisational policies, procedures, and statutory obligations
Review all organisational policies and procedures in line with statutory / legislative changes and submit for trustee approval in a timely manner
Undertake any additional tasks required by the Board of Trustees or arising from the needs of the organisation
Risk & Office Management

Ensure volunteer risk assessments are completed and regularly reviewed
Maintain a clean and tidy office environment
Undertake lone working with appropriate risk assessments in place
Create and ensure the maintenance of asset register for all HHV items, ensuring process in place for items taken from the office are signed out and returned
Line manage the Charity Administrator and ensure all administrative tasks are carried out in a way that positively benefits the Charity
Community Engagement

Develop partnership working relationships with GP surgeries, District Nurse networks, Integrated Care Boards, PCNs and other potential referring organisations
Identify local events to promote the charity’s work and to raise funds
Collaborate with the Charity Administrator and Chair of Trustees, contributing to a monthly engagement plan forward look
Support community-wide events (evenings/weekends) with time in lieu provided
Maintain and develop charity social media platforms to help continue to build our presence across the community
Review website content and liaise with web provider to ensure it reflects the work of the charity
Fundraising & Development

Identify potential funding streams and share leads with the Chair of Trustees, applying for said funding on agreement
Person Specification

Essential

Good standard of written and spoken English
Ability to travel across Dunstable, Houghton Regis and surrounding area to client homes and to attend network meeting and events
Strong computer skills, including word processing, excel, and internet use
Ability to communicate effectively at all levels
Experience delivering training
Strong organisational skills and ability to prioritise workload
Flexible, reliable, caring, and non-judgemental approach
Ability to work both independently and as part of a team
Desirable

Experience in a caring profession
Experience working within a charity or voluntary organisation
Driving licence with access to a vehicle
Additional Information

The role requires occasional out-of-hours work (e.g, evening meetings/community events) for which time off in lieu will be provided, or with prior agreement with Chair of Trustee’s additional salary payment. Time in lieu is expected to be taken back within four weeks of accrual
Terms of Employment

Hours: 20 hours per week – 5 days a week, 4 hours a day
Holiday: 28 days holiday per annum (pro rata), increasing by one day each year to a maximum of 33 days after 5 years, including bank holidays.
Salary: £18.52 per hour / £21,783 per annum pro rata) (FTE £41,665)
Notice Period: 4 weeks (either side)
Probation Period : 3 months – 6 months
