Job Description

Full job description
Certainly! Here's an expanded and more detailed version of the Wedding & Events Coordinator job advert for The Priest House Hotel, now including a "day in the life" section and enhanced role description:

Wedding & Events Coordinator

Location: The Priest House Hotel, Castle Donington
Contract Type: Full-time | Includes evenings & weekends
Salary: Competitive, based on experience

Set in a stunning riverside location on the banks of the River Trent, The Priest House Hotel is one of Derbyshire’s most romantic and sought-after wedding venues. With beautifully restored 17th-century buildings, picturesque grounds, and a range of elegant event spaces, we pride ourselves on creating exceptional wedding experiences tailored to every couple.

We are looking for an experienced, passionate, and organised Wedding & Events Coordinator to join our friendly and professional team. This is a hands-on role that blends relationship-building, planning precision, and on-the-day coordination to deliver truly unforgettable weddings.

A Day in the Life:

As our Wedding & Events Coordinator, no two days are ever the same. One day, you might begin with hosting a venue show-round for an excited newly engaged couple, followed by preparing detailed event sheets and timelines for upcoming weddings and conferences. You’ll check in with the kitchen team to finalise menu choices, liaise with the operations team to confirm set-up plans, and respond to new enquiries with speed and enthusiasm.

On the day, you'll arrive early to oversee room dressing, meet with suppliers, reassure the bride or groom, and ensure the ceremony flows smoothly. You’ll be the go-to person for guests, the liaison between departments, and the calm in the room if things don’t go to plan. You leave knowing you’ve helped deliver a magical, once-in-a-lifetime moment.

Key Responsibilities:

Sales & Client Liaison:

Respond promptly and professionally to all wedding and event enquiries
Conduct venue show-rounds and consultations, showcasing packages and upselling where appropriate
Build strong relationships with couples and clients, understanding their vision and guiding them through the planning journey
Create detailed event proposals, contracts, and payment schedules
Planning & Administration:

Manage the full planning process from confirmation to post-event feedback
Coordinate all logistical elements: ceremony set-up, supplier access, décor, catering, timelines, and more
Maintain accurate records and ensure clear communication with all hotel departments
Ensure all weddings meet brand and service standards, tailored to individual client needs
On-the-Day Coordination:

Be the main point of contact for the clients, couple, guests, and suppliers on the wedding day
Oversee venue set-up and ensure everything runs to plan and on time
Manage any issues calmly and professionally
Represent the hotel with warmth, confidence, and a solution-focused approach
What We’re Looking For:

Proven ability to manage multiple events and clients with a high level of organisation
Warm, engaging communication style with a natural ability to build trust and excitement
Sales-minded with the ability to convert enquiries into bookings and upsell packages
Comfortable working with CRM systems, planning tools, and Microsoft Office
Strong time management and a high attention to detail
A calm, positive approach under pressure
Willingness to work flexible hours, including evenings, weekends, and key dates such as bank holidays
What We Offer:

A key role in one of the region’s most established wedding venues
Supportive and experienced team environment
A beautiful and inspiring place to work, surrounded by nature and history
Competitive salary, company benefits, meals on duty, and uniform provided
Opportunities to grow your career within a wider hospitality group
Ready to join a team where your passion for weddings makes dreams come true?
