About the role:
We are looking for a motivated Events Associate to join our team. This role offers hands-on experience in event management, curation, creativity, brand engagement, and executing our events. The ideal candidate will assist in organizing successful events, workshops, and activities that align with our brand's objectives, ensuring smooth and efficient event operations.
What You Will Be Doing:
• Assist in planning, organising, and executing events from start to finish.
• Contribute creative ideas for event themes, activities, and presentations.
• Assume responsibility for making workshops live on the app.
• Address customer inquiries regarding events and manage all cancellations and rescheduling.
• Research and curate content for workshops and presentations.
• Assist the team with sourcing trips to vendors and the local market for samples.
• Coordinate with vendors to ensure timely delivery of services and materials.
• Coordinate logistics such as venue booking, catering, and event materials.
• Support in managing event budgets and expenses.
• Engage with attendees, speakers, and partners to ensure a seamless event experience.
• Manage on-site event operations to ensure everything runs according to plan.
• Assist in the execution of workshops, ensuring all materials and resources are available and set up correctly.
• Troubleshoot any issues that arise during events and workshops, providing quick and effective solutions.
• Maintain clear and effective communication with all stakeholders, including vendors,
• participants, and internal teams.
• Assist in post-event activities such as gathering feedback, reporting and P&L.
What You Bring To The Table:
• Currently enrolled in or recently graduated from a relevant degree program (Hospitality Management, Event Planning, Communications, etc.) preferred.
• Strong organisational skills with attention to detail.
• Creative mindset with the ability to manage multiple tasks and work under pressure.
• Excellent verbal and written communication skills.
• Ability to work both independently and as part of a team.
• Proficiency in Microsoft Office and familiarity with event management software is a plus

Key Responsibilities:

• Event Design and Planning: Develop and present detailed wedding plans, including themes, décor, timelines, and vendor recommendations. Oversee all aspects of event design to ensure consistency with the client’s vision.
• Vendor Management: Source, negotiate with, and coordinate with vendors such as caterers, florists, photographers, and entertainment providers. Ensure that all services meet the highest standards and are delivered on time.
• Budget Management: Create and manage wedding budgets, tracking expenses and ensuring that all costs stay within the allocated amount. Provide clients with regular updates and financial reports.
• Timeline and Logistics: Develop and manage detailed timelines for the wedding day, including rehearsals and all events leading up to the wedding. Ensure all logistical elements are coordinated seamlessly.
• On-Site Coordination: Oversee the wedding day activities, ensuring that everything runs smoothly and according to plan. Handle any issues or emergencies that may arise promptly and effectively.
• Client Relationship Management: Build and maintain strong relationships with clients, providing exceptional customer service and addressing any concerns or requests throughout the planning process.
• Post-Event Follow-Up: Conduct post-event evaluations with clients to gather feedback and ensure satisfaction. Address any outstanding issues and provide recommendations for future events.
Qualifications:
• Experience: Proven experience as a wedding planner or in a similar role within event management. A portfolio of successfully executed weddings is preferred.
• Skills: Strong organizational and multitasking skills with excellent attention to detail. Exceptional communication and interpersonal skills.
• Creativity: Ability to think outside the box and come up with innovative solutions and design ideas.
• Knowledge: Familiarity with the latest wedding trends, décor, and vendor options. Understanding of event budgeting and logistics.
