Job Description

Full job description
At Young Mindz, we’re passionate about empowering Australians with disabilities to live fulfilling, independent lives. As a nationwide NDIS provider, we deliver person-centred services including Supported Independent Living (SIL) and tailored disability support. Our approach is grounded in mindfulness, self-care, and community wellness.

About the Role

The Workforce Scheduling & Wellbeing Lead is responsible for the end‑to‑end coordination of workforce scheduling and rostering across community‑based and supported living environments. The role provides leadership and day‑to‑day oversight of a diverse casual workforce, ensuring arrangements are sustainable, fair, and responsive to both participant needs and workforce capacity.

Rosters are built, monitored, and adjusted with a holistic view of service delivery, workforce availability, and continuity of support. This position ensures scheduling practices support high‑quality participant outcomes across in‑home support and supported independent living, while meeting industrial, regulatory, and organisational requirements and actively promoting workforce wellbeing, engagement, and a positive experience for both workers and participants.

Key Accountabilities:

Developing, managing, and publishing accurate rosters using ShiftCare and other digital tools.
Ensuring rosters are person-centred, balancing participant needs, workforce availability, travel time, and cost efficiency.
Managing real-time changes due to leave, availability, incidents, or service requests.
Ensuring all rostering practices comply with the SCHADS Award, Fair Work requirements, and organisational policies.
Supporting onboarding, availability management, and integration of new team members into rosters.
Acting as the first point of contact for workforce-related matters including attendance, performance, and wellbeing.
Conducting regular wellbeing check-ins with team members to support engagement, retention, and shift fulfilment.
Monitoring shift compliance and escalating concerns relating to safety, conduct, or performance as required.
Liaising with clients, carers, internal and external stakeholders to confirm availability and communicate changes to services.
Ensuring accurate documentation of shifts, timesheets, and service delivery in line with NDIS Practice Standards.
Participate in audits, quality improvement activities, and compliance reporting.
Monitor rosters to ensure appropriate breaks, contracted hours, and award conditions are met.
Provide accurate timesheet information to support payroll and finance processes.
Participate in the on-call rotation to manage urgent rostering issues, workforce escalations, and service continuity outside standard business hours (Receive additional weekly pay of $218 - $400 when on-call).
About You

At the heart of this role is a commitment to being person-centred, honest, transparent, caring, and kind in all interactions. You are highly organised, calm under pressure, and committed to supporting both people with disability and the workforce that supports them.

You will bring:

Demonstrated experience in workforce scheduling, rostering, or coordination within disability, aged care, or human services environments.
Demonstrated experience supporting or coordinating large workforces.
Strong working knowledge of the SCHADS Award and workforce compliance requirements.
Proficiency in ShiftCare and Microsoft Office Suite.
Excellent communication, problem-solving, and time management skills.
High attention to detail and the ability to manage competing priorities and deadlines.
Understanding of NDIS Practice Standards and service delivery requirements.
Diploma or Bachelor qualification in Disability, Community Services, Human Services, or equivalent experience (desirable).
