JD for Accounts and Administration Specialist
We are looking for an Accounts & Administration specialist to join our growing team in WELL
Labs, Bangalore. As an Accounts & Administration Specialist, you will facilitate all aspects of daily operation, from managing office, accounting to engaging in vendor negotiations and providing administrative support to the team. You will work closely with the entire team, including external vendors. The ideal candidate is an exceptional professional who has the work ethic necessary to get things done in a fast-paced environment and can work effectively in a collaborative setting. To succeed in the role, you need to be structured, organized, responsible, flexible and manage multiple errands at the same time.
Work Location Information: This position is not eligible for remote work, and is located in the
Basavanagudi Office Monday through Friday.
Administration (20%)
1. Perform all administrative activities for the company. Manage day-to-day operations of the office, visitor access and ensure to maintain a clean, safe and presentable office setup.
2. Assist the team with coordinating facilities management and scheduling routine office maintenance and ordering office supplies
3. Maintain licenses, permits, agreements and work orders (Purchase orders)
4. Negotiate with vendors for business purchases
5. Printing correspondence including memos and letters for Executive Director, COO and
Managing Partners. File and maintain paper and electronic records.
6. Assist HR & Operations Manager in event planning with regards to payment to the caterers, vendors and processing employees reimbursement through Zoho.
7. HR related tasks such as being responsible for mediclaim cards (addition & deletion), insurances, and other employee benefits.
8. Occasional outdoor work such as bank or for any event arrangements etc
Accounting (80%)
Be a single point of Contact with IFMR for all the accounting related matters
1. Accounting and Transaction processing - Day to day bookkeeping of all transactions, accounts payable/receivables, invoicing, general ledger, credit & reconciliations, bank &
Cash. Responsible for the coordination of accounts processes, including approvals, execution, validation, and payment processing. Coordinate with IFMR accounts team for running the accounting activities smoothly.
2. Donor’s payment receivable and MOU coordination, along with coordination on due diligence and Utilisation certificates
3. Bill employees project wise against allocated funds every month end and send the details to IFMR account team
4. ERP – Upload monthly expenses and payroll in ERP by allocating correct billing codes
5. Check payroll & TDS calculations for employees & consultants and coordinate with IFMR accounts for timely disbursement of staff salaries. Coordinate with Auditors and Tax
Consultants. Provide tax computation to employees as and when requested.
6. Processing vendor payments through IFMR accounts
7. Monitor and analyzing accounting data and produce financial reports or statements
8. Preparing all workings and payment of all applicable statutory dues
+. Preparing Expense Charts for all applicable expenses (Direct or Indirect)
10.Preparing Creditors & Debtors Ageing and initiating necessary follow-up
11. Preparing Project-wise and initiative wise profitability statement
12. Recording Receipt entries
13. Coordinating with IFMR and finalizing yearly books of accounts
14. Coordinate with IFMR and complete annual audits
15. Preparing workings/necessary data/coordinating with IFMR for any tax assessments
16. Meet financial accounting objectives
17.Dealing with banks & other vendors
18.To prepare regular reports and summaries of all accounting aspects of the company
1+. Suggest ways to improve processes, cost savings and automation
20.Perform additional/other duties as assigned
Desired Skills required:
Attention to detail & organizational abilities
Experience in accounting/Finance is must
Day to day administration of office
Proficiency in Microsoft office including Word, Excel and Powerpoint and accounting software
Strong problem solving and analytical skills as evidenced by relevant experience
Decent interpersonal and communication skills
Solution based proactive approach
Ability to manage many priorities at once- driving them to completion
High sense of responsibility
Job Type: Full-time
Salary: ₹30,000.00 - ₹40,000.00 per month
