About New Federal Theatre
Founded in 1970 by Woodie King Jr. on New York's Lower East Side, New Federal Theatre has been a pioneering force in American theater for over five decades. Named after the African-American branch of the Federal Theatre Project, the organization's mission is to integrate artists of color and women into the mainstream of American theater by training artists for the profession and presenting plays by diverse writers to integrated, multicultural audiences—plays that evoke truth through beautiful and artistic re-creations of ourselves.
About the Role
New Federal Theatre seeks a highly organized and proactive Part-Time Administrative Assistant/Office Manager to provide essential administrative support and ensure smooth daily operations. This position is ideal for someone who thrives in a creative, mission-driven environment and wants to contribute to a historic institution dedicated to diverse voices in American theater.
Key Responsibilities
Office Management
· Maintain organized and efficient office operations, including supplies, equipment, and vendor relationships
· Serve as the first point of contact for phone calls, emails, and visitors, providing professional and welcoming service
· Manage office calendar, schedule meetings, and coordinate logistics for staff and visiting artists
· Maintain filing systems, both physical and digital, ensuring easy access to important documents
Administrative Support
· Provide administrative assistance to the Producing Artistic Director and staff as needed
· Prepare correspondence, reports, and presentations
· Process incoming and outgoing mail and packages; phone calls & messages.
Assist with event planning and execution, including receptions, readings, and special programs
Financial & Database Support
· Process invoices, expense reports, and maintain records for accounting purposes
· Assist with donor database management and acknowledgment letters
· Support grant reporting and documentation as needed
General Operations
· Support production and programming activities with administrative coordination
· Maintain contact lists and organizational databases
· Assist with social media posts and website updates as needed
· Contribute to a collaborative, inclusive workplace culture
Qualifications
· Minimum 2 years of administrative or office management experience
· Excellent organizational skills with strong attention to detail
· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
· Strong written and verbal communication skills
· Ability to work independently and manage multiple priorities
· Professional, friendly demeanor with strong interpersonal skills
· Passion for theater and commitment to diversity, equity, and inclusion
· Experience in nonprofit or arts organizations preferred
· Familiarity with donor databases (e.g., Tessitura, Patron Manager) a plus
Schedule & Compensation
· Part-time position: 20 hours per week (9AM-1:00PM)
· Salary: $26,000 annually
· On-site position in New York City
