Ensuring Chart’s Success…
This part-time position will support the current administration team especially around the end of month, accounting tasks, first point of contact for customers, responsible for processing sales, quotation, licensing and invoicing of our software products to customers. Also responsible for wide range of office duties including reception, admin. tasks, incoming and outgoing mail, ordering of office supplies etc.
What Your Day-to-Day Activities Will Be…
Handle accounting tasks and reconciliations
Attend to the main email addresses and handle calls
Attend to queries or direct calls to the relevant individuals accurately
Take messages accurately and ensure that they are received by the relevant individuals to meet standards.
Handle customer sales from quotation to issuing the licence and receiving payment.
Organise training courses catering.
Assist with marketing logistics including emailing to customers, booking for roadshow venues, lunches and dinners as required.
Attend to walk in customers and ensure that their needs are addressed completely.
Distribute incoming mail and organise the postage of all outgoing mail
Maintain stationary cupboard and order office supplies & stationery as requested.
Liaise with senior managers and HR manager to handle requests and queries

Higher School Certificate
Proven experience as an administrative assistant and or receptionist

Exposure to small business accounting systems eg Quickbooks

Proficiency in MS Office (MS Excel, MS Word, Outlook and PowerPoint)
Excellent time management skills and ability to priorities work
Attention to detail with problem solving skills
Excellent written and verbal communication skills
Strong organisational skills with the ability to multi-task
