Our office is seeking an organized and proactive Office Assistant to provide essential administrative support to the Office Manager and assist in the smooth operation of our office
This role needs general office management tasks with HR responsibilities, making it ideal for someone with experience in human resources
You will play a key role in ensuring efficient office operations, coordinating schedules, maintaining office supplies, assisting with recruitment efforts, and handling day-to-day administrative tasks
The Administrative Assistant will also be trained to serve as a HIPPA Compliance Officer for our organization
Accommodating position with flexible hours between 10 am to 5 pm
Assist the Office Manager with daily administrative duties, including managing office supplies, handling correspondence, and overseeing general office maintenance
Schedule and organize meetings, appointments, and conference room bookings
Answer and direct phone calls, take messages, and respond to general inquiries from staff, clients, and visitors
Maintain email and calendar systems to ensure meetings, deadlines, and follow-ups are on track
Maintain office organization and cleanliness by coordinating with cleaning staff and ensuring all workspaces are functional
Assist in special projects or tasks assigned by the Office Manager
Track and reorder office supplies to ensure adequate stock and maintain budget records for office-related expenses
Assist in maintaining office equipment
Assist in recruitment activities by posting job openings, screening resumes, scheduling interviews, and coordinating candidate communications

• Experience: Minimum of 1-2 years of experience in office administration or HR support; prior experience in an office assistant or administrative role is highly desirable.
