This is a hands on role at the heart of our Melbourne office experience. As our Office Assistant, you will take ownership of how the workplace looks, feels and functions each day. From daily walkthroughs and proactive problem solving to ensuring spaces are clean, safe and fully stocked, you will play a key role in creating a welcoming environment for our people and visitors.

As part of The Office Services team, you will support the smooth running of the office across amenities, mail and courier services, supplies and procurement, physical spaces and general administration. No two days will look the same, and your contribution will be visible and valued.

This is a great opportunity for someone with stock handling or inventory experience who is ready to bring their practical skills into a corporate setting.

The Opportunity

You will be accountable for submitting high quality work that is accurate and meets quality standards.
You will be responsible for producing routine reports and documents from standard templates.
Organise, conduct stocktakes, and order all Melbourne office supplies.
Maintain supplier relationships and act as the main contact for office suppliers.
Ensure meeting rooms, kitchens, and communal spaces are fully stocked, functional, and presentation‑ready at all times.
Complete daily whole‑office checks covering facilities, services, and general presentation.
Maintain specialist labs to a high standard of cleanliness, organisation, functionality, and safety.
Support the Staff Services Departent in completing internal requests such as printing, binding, plotting, courierring,maintenance and event/catering requests.
Support the facilities coordinator with reactive maintenance management end to end.
Is this role right for you?

1+ years’ experience in an administrative role.
Previous reception experience preferred, but not essential.
Proven working knowledge of relevant legislation, regulations, codes of practice, and guidelines.
Ability to communicate with people at all levels in both technical and non-technical environments.
Ability to maintain personal effectiveness particularly during periods of higher than normal workload.
Ability to remain positively motivated and foster team spirit at times of significant pressure, including assisting others to meet deadlines.
Effective written communication and writing skills.
