The HR Assistant Manager, under the guidance and leadership of the HR Director, will perform a wide range of general HR support and related administrative functions under labor context in India. This role will also ensure that policies and practices are consistent with the local labor law and the standards.

Job Responsibilities:

HR Database Management (15%)
? Assess and set up effective HR database to ensure that HR documents such as personnel contracts, HR forms, HR metrics, job descriptions, job plans, org. structure and other HR work related documents are properly organized.

? Manage and monitor the contents of HR SharePoint database ensuring that it is updated.

? Determine the future database needs of the HR team and propose solutions that will enhance the effectiveness of the team database.

Provide administrative services to the HR Team. (15%)

? Coordinate and setup team meetings, team retreat and other HR team events and activities. This includes documentation of minutes of meeting.

? Coordinate incoming and outgoing communications from mailbox ensuring that confidential matters are handled properly.

? Consolidate and ensure the timely submission of HR reports and HR metrics.

? Arrange hotel and flight bookings of the team and monitor the travel of individual team members ensuring that all team members are informed.

? Provide logistical support for training and development events (workshops, trainings, conferences, webinars) including virtual meetings when necessary.

Provide support in the administration of employment contracts, benefits and HR payroll. (20%)

? Provide helpdesk support for all employee related benefits.
? Manage leave benefits of all staff in the system.
? Administer employee benefits and prepare movement documents, when necessary.
? Assist in the monthly payroll as needed.

Facilitate the processing of statutory & company requirements of employees. (10%)

? Facilitate the processing of work permit/visa.
? Secure tax identification number for new employees when applicable.
? Facilitate enrollment and application of new employees in statutory and company defined benefits such as social security and insurances amongst others.

Assist in the recruitment, orientation, performance management and separation of employees. (30%)

? Arrange interview schedule, prepare interview materials, and provide assistance to final candidates when necessary.

? Conducts or acquires background checks and employee eligibility verifications.

? Facilitate the completion of new hire forms and other onboarding documents and ensure proper documentation of all new hires.

? Assist in the coordination of orientation for new and internally promoted employees.

? Provide HR orientation to new employees and volunteers when necessary.

? Undertake tasks around performance management.

? Facilitate the employee separation process.

Lead the logistical planning of employee engagement events and activities such as recognition day, service awards, and other team building exercises. (10%)Key Skills:Key Skills:

? Working knowledge in computer especially MS office (Word, excel and power point etcc)

Mandatory:
? Working knowledge of HR systems/ Core HR functions like Talent Acquisition/Talent Management/Performance Management System/Compensation & Benefits

? General knowledge and understanding of India’s labor laws.

? Proficiency in English, both written and spoken.

? Proficiency in word processing, spreadsheet, database, and email software applications.

? High level of professionalism

? Ability to keep confidential confirmation

? Strong service orientation - provide consistent and reliable service, making every effort to meet and exceed requirements and strive for excellent, value-added service in all areas of HR administrative support.

? Demonstrate ability to handle competing priorities and multiple tasks
