The Role

This role sits at the centre of the business and plays a key part in keeping operations running smoothly. As the Bookings & Client Services Coordinator, you’ll manage bookings, coordinate schedules, and handle day-to-day communication with clients and referral partners.

You’ll be working closely with the operations team and inspectors, making sure jobs are organised, clients are looked after, and enquiries are converted into confirmed bookings. It’s a high-volume role suited to someone who enjoys structure, responsibility, and staying on top of moving parts.

Key Responsibilities

Act as the first point of contact for agents, solicitors, and homeowners
Handle a high volume of inbound and outbound calls
Manage daily schedules for inspectors and prioritise urgent jobs
Book inspections across multiple systems with accuracy
Keep clients informed throughout the process
Follow up enquiries and convert them into confirmed bookings
Build and maintain relationships with referral partners
Prepare quotes, invoices, and issue reports
Monitor workflow and identify areas for improvement
Support general admin tasks and light social media activity
Required Skills & Experience

Based in Sydney with full working rights
Previous experience in real estate or a related industry
Strong phone manner and confidence handling calls
Ability to manage a busy workload and stay organised
High attention to detail and accuracy
Comfortable working across multiple systems
Experience in sales or lead conversion
Strong communication and relationship-building skills
Ability to work in a fast-paced environment
Nice-to-Have Skills (Optional)

Experience with ServiceM8 or similar systems
Background in property, inspections, or conveyancing
Familiarity with scheduling or dispatch roles
Basic social media or content posting experience
