Bookkeeper Role at Gigabrain
Gigabrain is seeking a skilled Bookkeeper to be the backbone of our financial tracking, reconciliation, and reporting systems. As a key member of our team, you will help us operate with clarity, precision, and profitability.
Day-to-Day Duties:
• Maintain and reconcile all financial records, including client invoices, reimbursements, payroll entries, and operating expenses.
• Oversee weekly and monthly reconciliations of bank accounts, credit cards, and third-party platforms (Stripe, PayPal, Amazon, etc.).
• Track and report client retainers, bonuses, and ad spend reimbursements with accuracy.
• Ensure accurate categorization of agency expenses and client-related transactions across multiple accounts.
• Work closely with the Brand Management team to verify revenue recognition and service delivery are aligned.
• Support onboarding/offboarding financial setup for new and exiting clients.
• Prepare monthly P&L statements segmented by department and client.
• Maintain clean, audit-ready books using QuickBooks Online or similar platform.
• Track accounts receivable and follow up on overdue invoices in coordination with Account Managers.
Roles & Responsibilities:
• ClickUp tasks and financial processes are tracked and updated consistently.
• Accurately record Amazon-related financial activity, including reimbursements, PPC charges, and client budget adherence.
• Collaborate with the Advertising and Brand Management teams to ensure financial KPIs are met.
• Lead the monthly close process and ensure all journal entries, adjustments, and reviews are completed on time.
• Manage software subscriptions, contractor payments, and internal reimbursements with clear documentation.
• Work with team leads to monitor department-level spend vs. budget.
• Create and maintain detailed financial dashboards or summaries for internal use.
KPIs:
• 100% accuracy in financial reporting and reconciliations
• +5% of invoices paid on time
• All monthly closes completed within 5 business days
• 100% vendor and client payments processed on time
• 0 unresolved bookkeeping tickets older than 5 business days
• Quarterly financial insights or cost-saving opportunities presented to leadership

Qualifications:
• 3+ years of bookkeeping or accounting experience, ideally in a marketing, SaaS, or eCommerce agency.
• Strong working knowledge of QuickBooks Online (or similar platforms) and Excel/Google Sheets.
• Familiarity with Amazon Seller Central financial structure is a major plus (PPC, reimbursements, inventory reconciliation).
• Experience handling multi-client service invoicing and bonus-based billing structures.
• Understanding of accrual accounting, chart of accounts, and GAAP standards.
• Detail-oriented and process-driven with strong documentation habits.
• High proficiency with workplace tools such as ClickUp, Slack, and Zoom.
• Strong communication skills and ability to coordinate across departments.
