Responsibilities include
Reception duties: Answering and directing calls, booking appointments, managing clients and guests.
Assisting Principal of Parsons with all personal administration matters personal to the director.
Mail and Package Handling: Receiving, sorting, and distributing incoming mail, packages, and deliveries. Preparing outgoing mail and packages for pickup or shipment.
Filing legal documents, physically and electronically.
Managing the Office Area: Keeping the reception area clean, organised, and presentable. Ensuring that the necessary office supplies are available.
Confidentiality and Discretion: Maintain strict confidentiality and handle sensitive information with discretion. Exercise professionalism and discretion when dealing with confidential matters related to staff and the firm.
Provide comprehensive support and assistance to the principal in managing her daily activities.
Assisting legal practice team with various administration tasks including liaising with clients, document compilation and preparation of basic correspondence, file opening and management, scheduling appointments and diary management.
Any other ad hoc duties as required.
Skills and experience
Knowledge of legal terminology, procedures, and documentation an advantage.
Excellent written and verbal communication skills.
Strong organisational and multitasking abilities.
Hold a valid driver’s license.
Attention to detail and accuracy.
Proficient in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and legal software applications.
Ability to work independently and as part of a team.
Professional demeanour and client-service orientation.
