Clinic Manager /Operations
Location: PearlMD 1650 Yonge Street, Toronto, Ontario
Reports To: Dr. Jennifer Pearlman, CEO & Medical Director
Employment Type: Full-Time | On-Site Operational Role
Position Overview
The Clinic Manager is a senior operational leader responsible for overseeing all operational (excluding clinical care), business systems, team performance, and financial accountability within PearlMD Rejuvenation. This role serves as the operational engine of the clinic, ensuring seamless execution, premium patient experience, strong team development, regulatory compliance, and scalable growth infrastructure.
This position blends tactical clinic management, operational organization, with strategic business leadership. The successful candidate will implement performance metrics, optimize workflows, enhance revenue drivers, manage human capital, and build systems that support multi-service expansion and future geographic scaling.
Core Responsibilities1. Operational Leadership & Systems Optimization
- Oversee daily clinic operations including scheduling, patient flow, staffing coordination, patient experience and service delivery.
- Develop, implement, and refine SOPs to ensure operational consistency and efficiency.
- Optimize EMR, CRM, billing, and reporting systems for workflow integration.

- Monitor and improve clinic utilization rates, service capacity, and operational bottlenecks.
- Manage vendor relationships, procurement, and inventory controls.
2. Financial Performance & Revenue Accountability
- Manage clinic operating budget and oversee financial forecasting.
- Track and analyze KPIs including revenue per provider, EBITDA margin, conversion rates, and retention metrics.
- Implement cost-control strategies without compromising quality or experience.
- Partner with leadership to identify new revenue streams and service expansion opportunities.
3. Team Leadership & Culture Development
- Lead recruitment, onboarding, and performance management of administrative and clinical support staff.
- Establish clear performance benchmarks and accountability structures.
- Conduct performance reviews and coach staff toward professional development.
- Foster a culture of excellence, ownership, discretion, and service alignment with PearlMD brand values.
4. Patient Experience & Brand Standards
- Ensure a premium, concierge-level patient experience aligned with PearlMD positioning.
- Resolve escalated patient concerns professionally and efficiently.
- Implement patient feedback systems to continuously improve service delivery.
5. Compliance & Risk Management
- Ensure compliance with Ontario healthcare regulations, privacy legislation (PHIPA), and employment standards.
- Maintain documentation protocols and risk mitigation processes.
- Oversee health and safety standards within the clinic environment.
6. Strategic Growth & Scalability
- Oversee satellite and seasonal practices, ensure operational architecture designed and ready for geographic expansion and virtual care global growth
-Support expansion initiatives including service launches and potential satellite growth.
- Build dashboards and reporting frameworks to support executive decision-making.
- Identify operational inefficiencies and lead continuous improvement initiatives.
- Collaborate with marketing and sales teams to optimize patient acquisition funnels and retention strategies.
Qualifications
- Bachelor’s degree in Business, Healthcare Administration, or related field (MBA preferred).
- 5+ years of leadership experience in a healthcare, medical aesthetics, or boutique clinical environment.
- Demonstrated financial literacy including budgeting, KPI analysis, and performance forecasting.
- Strong leadership presence with experience managing multidisciplinary teams.
- Experience with EMR/CRM systems and data-driven performance tracking.
- High emotional intelligence, discretion, and executive-level communication skills.

Compensation Structure
Base Salary Range: $85,000 – $95,000 CAD (commensurate with experience and title level)
Performance Bonus: discretionary and performance driven
