We don’t just build spaces; we create environments that inspire and perform.The RoleWe are seeking a detail-oriented and commercially focused Contracts Administrator to join our growing team. You will be responsible for providing administrative and commercial support across the entire contract lifecycle—from initial documentation and administration to progress tracking and project close-out.

Key Responsibilities

Documentation & Administration: Assist the Project Manager/Site Manager with the preparation, review, and administration of head contracts (commercial/retail), subcontracts, and supplier agreements.
Contract Compliance: Administer construction contracts (e.g., AS 2124, AS 4000, AS 4902) and ensure all contract documentation adheres to Victorian building regulations and ISO standards.
Risk & Dispute Support: Support the identification of potential commercial risks and assist the Project Manager/Site Manager in implementing mitigation strategies. Provide support in the documentation and resolution of contractual disputes.
Project Liaison & Tracking: Work closely with Project Managers to ensure contract terms align with site delivery and timelines. Maintain project tracking records, including progress updates, key milestones, and deliverables.
Claims & Variations Support: Provide essential support for the end-to-end process of contract variations, extensions of time (EOTs), and progress claims.
Assist in managing variations, including pricing, tracking, and documentation.
Support the assessment and processing of subcontractor and supplier progress claims.
Assist with extensions of time tracking and maintaining delay registers.
Procurement & Cost Control:
Assist with material ordering, procurement schedules, and supplier coordination.
Track delivery dates and ensure materials align with the construction program.
Assist with cost tracking, budgets, and basic cost reporting.
Documentation & Compliance:
Maintain project and contract registers (variations, RFIs, EOTs, procurement, insurances).
Prepare and issue RFIs and follow up responses with consultants.
Coordinate project correspondence and document control systems.
Liaise with site teams, subcontractors, suppliers, and consultants.
Ensure records and documentation comply with company procedures and Victorian regulations.
Project Close-Out & Support: Manage documentation for practical completion, defects management, and project close-out. Provide day-to-day commercial and administrative support to the Project Manager.
