Job Description
Highly organized and detail-oriented Conveyancing Administrator to join our growing real estate brokerage. This role is responsible for supporting the conveyancing process by ensuring all real estate transactions are properly entered, documented, and processed efficiently. The ideal candidate is professional, dependable, and comfortable working in a fast-paced real estate environment while managing multiple files and deadlines.

Experience working in a real estate office or handling real estate transaction files is highly valued. The successful candidate will be comfortable managing multiple deal files, communicating with agents and lawyers, and ensuring all documentation is complete and compliant.
Key Responsibilities
Front Office & Communication Greet and assist visitors to the office, maintaining a welcoming and professional environment. Answer incoming calls on the main office line and direct inquiries appropriately. Respond to email communications promptly and professionally.
Transaction & File Management Enter all real estate transactions into Lone Wolf software accurately. Review deal files to ensure all required documentation is complete. Notify agents when information or documents are missing from their deal files. Submit completed files to the Broker for final review and approval.
Documentation & Record Keeping Organize and file completed deal documents in office filing systems. Prepare and send correspondence to lawyers, outside brokerages, and other relevant parties. Maintain and replenish document folders in agent work areas weekly.
Agent Support Assist agents with document requests related to their transactions. Update MLS listings with pending or sold status when required. Provide administrative support to ensure smooth processing of real estate deals.
Additional Duties Perform other administrative tasks as required to support the brokerage and conveyancing process.
Qualifications High school diploma or equivalent required. Secondary education in business administration, real estate, or a related field is considered an asset. 1–3 years of administrative experience, preferably in a real estate or legal office, considered an asset. Previous experience in real estate administration or conveyancing is an asset. Experience with Lone Wolf or real estate transaction software preferred. Familiarity with MLS systems and real estate documentation. Strong organizational and multitasking abilities. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Ability to work independently and collaboratively within a team. Proficiency with email, Microsoft Office, and general office software.
Position Details Job Type: Full-time | Temporary | Schedule: Monday – Friday Hours: 9:00 AM – 5:00 PM (8 hours per day)
