What You Will Do
Provide professional and courteous telephone service for the Brisbane office, including:
Answers incoming calls in a timely and friendly manner
Redirects calls to the appropriate person in a timely manner
Maintains awareness of employee movements in and out of the office
Takes messages where appropriate, ensuring accuracy and timeliness of delivery
Manages first impressions for all visitors, including:
Greets clients and other visitors with respect and professionalism
Provides visitors with refreshments (e.g. tea/coffee/water /catering if requested)
Ensures the reception area and all meeting rooms are always maintained in a neat and orderly manner
Effectively manages room bookings and communicates any changes in a timely manner
Organizes catering for meetings and morning teas and liaises with office administrator to organize refreshments for meetings
Manages all incoming and outgoing mail for the office including the following:
Updates incoming mail register and distributes mail and other deliveries in a timely manner
Prepares and posts outgoing mail including organising couriers as required
Maintains postage and courier consignments/satchel stocks
Maintain reception handbook and update/ maintain all FV phone lists
Be aware of security requirements of the office and front desk responsibilities
Maintenance and cleaning of common areas including staff kitchen, including:
Consumables stock supply and ordering
Maintain cleanliness of kitchen including fridges, drawers, cupboards, benches, and tables
Coffee machines maintenance and cleaning nightly
Dishwashers stack and empty as required
General upkeep of all kitchen appliances
Office Manager Support
Assist Office Manager with accounts and invoice approval of regular weekly and monthly expenses
Assist with staff and client events and functions internal and external
Logging of maintenance issues and repairs
Assist with office cost control and budgets
Stock control and supply ordering
Administration Support
Remains up to date as to service line offerings and current staff and is equipped with the knowledge to answer general questions about the company
Assist organising external and internal client events as requested. Duties may include, but not be limited to, creating mailing lists, producing invitations, organising catering, booking of venues and checking for AV requirements internally
Support to BSO’s as required – Assist with expenses, travel arrangements, batch headers, printing, binding, scanning, archiving, collating of documents and other general administration tasks.
Who You Are
Demonstrated Corporate Reception and office administration experience within a corporate environment
Professionalism in an office environment;
Excellent communication and interpersonal skills;
Excellent ability to work effectively as part of a team
Attention to detail;
Proficiency in formatting detailed reports and tables;
Intermediate - advanced skills using Microsoft Office packages including Word, Excel and Adobe Acrobat;
