Job description
The Systems role is a pivotal role within our team structure and will deliver first line end-user system support for the Atamis eProcurement System, other commercial systems like the central digital platform.

The role will involve undertaking Training Needs Analysis, developing and delivering training, maintaining and improving system guidance.

The role will be instrumental in maintaining the current system, resolving system issues, administering Key Performance Indicators and engaging with Stakeholders to ensure data Quality.

Working with internal and external stakeholders, such as systems providers, Cabinet Office and Other Government Departments, to identify short term system improvements and emerging requirements and reporting.

The post holder will report to the Commercial Operations and Strategy Systems manager and will be supported by a small team of commercial system subject matter experts.

The roles and responsibilities for this position include, but are not restricted to:

Capability

To quickly understand the Systems landscape and become upskilled in the Systems administration role and each of the systems capability.
Provide system advice, best practice and support to end users via internal helpdesk facility.
Devise and lead system training sessions.
Working with system stakeholders at all levels providing regular system communications and awareness events, promoting best practice and data quality.
Undertake Training Needs Analysis and review and improve system guidance.
Leadership

Play an active part in supporting Commercial Directorate values and culture.
Play and active role in internal team meetings and continuous improvement i.e. system and offline reporting capability.
Play a key role in the Governance and sourcing options analysis for any new eProcurement functionality.
Participate in sourcing activity for any new eProcurement functionality.
Lead the implementation, configuration and embedding any new eProcurement functionality.
Actively promotes system compliance, thereby driving improvements to data quality.
Systems Operational Management

Operational management of Commercial systems suppliers including analysis of contract performance information, issue resolution and close engagement with the systems Contract Managers/owners.
Create positive supplier relationships, encouraging innovation, creation of “value add” solutions, and a strong customer service ethic.
User Management

Reviewing and manage relevant eProcurement systems users and licences to optimise use to ensure value for money.
Explore barriers to adoption and work with internal and external stakeholders to improve system usage.
Stakeholder engagement

Project manage necessary work streams such as system enhancements, new systems roll-outs and embedding to ensure timely delivery of objectives, ensuring all necessary process, including formal stakeholder engagement and approval are completed.
Work with internal and external stakeholders to identify best practice, options and impact analysis for potential new solutions and emerging mandatory system requirements.
Represent DWP at Systems working groups.
Build relationships with Cabinet Office stakeholders re future systems road maps, best practice use.
Close engagement with Supplier Relationship Management team and Systems Contract Management to ensure a positive, collaborative, holistic Systems supplier management approach.

Hybrid Working

This job role may be suitable for hybrid working, which is where an employee works part of the week in their DWP office and part of the week from home. This is a voluntary, non-contractual arrangement and your office will be your contractual place of work. The number of days that anyone will be able to work at home will be determined primarily by business need, but personal circumstances and other relevant circumstances will also be taken into account. Provide evidence to demonstrate experience of training large numbers of end users including techniques used to ensure training is understood.
Stakeholder management / engagement / communication

Demonstrate previous experience of working collaboratively across a range of stakeholders to enhance a System/tools functionality to meet business requirements.

Demonstrate how you have analysed and understood key management information and performance data to inform decision making to bring about improvements.
