The office of Pat Conaghan MP is seeking applications for a full-time casual Electorate Diary Officer (EOA), based in the Electorate Office in Coffs Harbour, NSW.

About the position

The Electorate Diary Officer has responsibility for serving the needs of the electorate, keeping constituents informed of policy and decisions of the Government and the Member's activities.

The successful applicant will support the Parliamentarian by processing booking requests, managing and coordinating diary appointments and arrangements for the Member across the electorate.

The key duties of the position are, but not limited to:

Working alongside the MP and Office Manager to manage appointments
Acting as the first point of contact for constituent and stakeholder meetings, including coordination of briefing notes, speaking notes and run sheets
Plan travel and make bookings for accommodation
Undertake a broad range of reception and administrative duties to support the functions of the office
Assist in handling constituent enquiries, including researching and responding to enquiries
Assist with organisation of functions, events, visits and activities across the electorate
Maintenance of contact databases and registers
Other duties as directed
The ideal applicant should possess the following skills, qualifications, and experience:

Demonstrated experience in diary and office management
Excellent written and oral communication skills
Meticulous attention to detail. Excellent organisational and time management abilities
The ability to prioritise work tasks whilst dealing with competing demands on your time and under tight timelines in a high-pressure environment
Strong knowledge and experience using Microsoft Office 365
Capacity to work both independently and co-operatively as part of a dynamic team spread across multiple locations
Ability to manage a wide range of stakeholders, including external providers and the maturity to deal with members of the public, including those who are experiencing distress
Working knowledge of, or an interest in, Australia’s system of Government.
High levels of professionalism, confidentiality, and discretion.
Approach tasks with a positive attitude.
Self-motivated and demonstrate initiative.
Employment conditions:

The position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement 2020-23 which include:

A commencing salary between $69,046 and $73,098 will be negotiated depending on experience and relevant skills
An additional casual 20% loading will apply.
An additional optional allowance may be considered in recognition of, and as compensation for, reasonable additional hours of work
An employer superannuation contribution of 15.4% will be payable
An initial probationary period of three months will apply and may be subject to extension.

The successful applicant may be required to undergo a National Police History Check.
