Description
The Enrolment Officer is responsible for administering the enrolment processes for SSC’s kindergartens and childcare programs. The role ensures that all families, including those with English as an additional language, are supported through a welcoming, inclusive, and culturally sensitive approach, in line with SSC’s values and the needs of the local community. Key Responsibilities • Coordinate and administer the end-to-end enrolment process for kindergarten and long day care, including handling enquiries, processing applications, and maintaining accurate records. • Guide families through the central enrolment scheme, ensuring compliance with Council and Department of Education policies, including eligibility and priority of access criteria. • Provide clear, accessible information to families about program options, timetables, fees, and the enrolment process, both in person and via phone/email. • Liaise with families from culturally and linguistically diverse backgrounds, offering support and referrals to interpreters or translated materials as needed. • Maintain and update enrolment data using relevant software systems (e.g., Arrival, QikKIds) and ensure timely communication with relevant authorities and internal teams. • Support families during transition processes, including orientation and transition to school, by fostering strong relationships and providing relevant information. • Collaborate with educators and administrative staff to ensure all enrolment documentation is complete and up-to-date, including immunisation records and other regulatory requirements. • Assist with the allocation process, waitlists, and communication of placement offers, ensuring transparency and fairness. • Contribute to creating a welcoming, inclusive environment for all families, reflecting SSC’s commitment to multiculturalism and community engagement. • Participate in ongoing professional development and contribute to continuous improvement of enrolment procedures. Key Selection Criteria • Demonstrated experience in administration, preferably within early childhood education, kindergarten, or childcare settings. • Strong interpersonal and communication skills, with the ability to engage effectively with families from diverse cultural and linguistic backgrounds. • Sound organisational skills, attention to detail, and the ability to manage multiple tasks and deadlines. • Proficiency in using enrolment management systems and Microsoft Office applications. • Understanding of relevant legislative and regulatory requirements, including privacy, child safety, and Department of Education guidelines. • Ability to work both independently and collaboratively as part of a team. • Commitment to the values of inclusion, respect, and community engagement.
Qualifications
• Certificate or Diploma in Business Administration or a related field (desirable). • Experience in a similar role within early years or community services (highly regarded). • Valid Working with Children Check and National Police Check (mandatory). • Additional language skills relevant to the Springvale community (desirable).
