Job Description: The Department Coordinator serves as the administrative backbone of a healthcare department, seamlessly integrating various operational aspects to ensure efficient day-to-day functioning. This role involves a wide range of responsibilities, from managing schedules and coordinating meetings to handling communications and assisting with budget preparation. Department Coordinators work closely with department heads, healthcare professionals, and administrative staff to support clinical operations, patient care services, and departmental projects.
Key Responsibilities: Administrative Support Provides comprehensive administrative support to the department head and other staff, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Communication Management Acts as a liaison between the department and other hospital units, external agencies, and the public, ensuring effective flow of information.
Document and Records Management Oversees the creation, storage, and retrieval of departmental documents and records, ensuring they are accurate and compliant with regulatory standards.
Financial Assistance Assists with budget preparation, tracking expenditures, and processing invoices, ensuring financial activities align with departmental goals.
Meeting and Event Coordination Organizes departmental meetings, conferences, and events, including logistics, agendas, and minutes.
Project Support: Provides support for departmental projects, ensuring tasks are completed on time and within scope.
Staff Coordination Assists with human resources functions, such as onboarding new employees, maintaining staff records, and coordinating training programs.
Resource Management Manages departmental supplies, equipment, and facilities, ensuring resources are available and maintained.
Education Qualifications: Education: Bachelor’s degree in healthcare administration, business administration, or a related field preferred.
Experience: Prior administrative or clerical experience in a healthcare setting is highly desirable.
Skills: Proficiency in office software (e.g., Microsoft Office Suite), strong organizational skills, excellent communication and interpersonal skills, and the ability to manage multiple tasks simultaneously.
Certification: While not typically required, certification in healthcare administration or project management can be advantageous.
