Job description
Event Operations Specialist
We are looking for a highly organized and detail-oriented Trade Fair Operations Specialist to join our
team! In this role, the person will be responsible for all aspects of our trade fair operations, from
planning and budgeting to execution and follow-up. The role requires close collaboration with cross-
functional teams to ensure a successful trade fair execution that meets business objectives.
Key Responsibilities:
1. Venue Coordination:
Work closely with venue management to ensure proper facilities, security, and
infrastructure are in place for the exhibition.
2. Vendor and Contractor Management:
Review vendor selection and onboarding and suggest improvements.
Collaborate with and manage relationships with vendors, contractors, and service
providers involved in exhibition operations.
3. Logistics Management:
Coordinate and manage logistics for the exhibition, including venue selection, booth
setup, transportation, and storage of exhibition materials.
4. Exhibitor Services:
Review and improve onboarding and exit process, Assist exhibitors in the setup and
breakdown of booths.
Prepare escalation matrix to address exhibitor inquiries and concerns during the
exhibition.
5. On-Site Management:
Oversee on-site operations during the exhibition, including coordinating activities,
addressing issues, and ensuring a positive experience for participants.
6. Safety and Compliance:
Ensure compliance with safety regulations and other relevant guidelines.
Implement security measures to safeguard exhibitors, attendees, and assets.
7. Budgeting and Financial Management:
Develop and manage budgets for exhibition operations, ensuring financial goals are
met.
Track expenses, handle invoices, and reconcile financial transactions.
8. Evaluation and Reporting:
Evaluate the success of the exhibition and gather feedback from participants.
Prepare post-event reports, analyze key performance indicators, and identify areas for
improvement.
+. Team Leadership:
Lead a team of event staff, including operations coordinators, ushers, and support staff,
to ensure seamless execution of exhibition activities.
10. Communication:
Communicate with exhibitors, sponsors, attendees, and other stakeholders before,
during, and after the exhibition.
Qualifications:
Bachelors degree with experience in exhibition operations and management, having worked
with leading exhibition companies or a related field
Minimum of 10 years of experience in events, exhibition management, and trade fair operations
