About Bridgespan India

Established in 2015, the rapidly growing India office of The Bridgespan Group helps to catalyze a stronger social sector with the goal of improving the quality of life for the most vulnerable populations. We pursue projects that are intellectually challenging and have the potential for significant social impact; our services include providing strategic advisory to social purpose organizations, cohort-based capacity building programs for NGOs (Bridgespan’s Nonprofit Development Program), anchoring sector-building initiatives such as Pay-What-It-Takes and Community-Driven Change, and developing and sharing insights through publications (e.g., Stanford Social Innovation Review, India Development Review)

Since our office opened, we have completed advisory projects on a range of issues including education and skilling, gender, climate, health, livelihoods, and land rights. Our clients include prominent institutional philanthropies such as Azim Premji Foundation, Bill & Melinda Gates Foundation and Tata Trusts; CSR organizations such as Axis Bank Foundation, JSW Foundation and Mahindra & Mahindra; nonprofits such as Aangan, ARMMAN and Project ECHO, and ecosystem actors such as Asian Venture Philanthropy Network, Dasra and Give India. Project examples include:

Developing a flagship initiative targeted at enabling millions of women to become entrepreneurs for a leading CS

Sourcing and diligence of nonprofits for a global collaborative funding initiative

Designing a funder engagement strategy to enable growth for a global NGO that focuses on eliminating malnutrition in children and women

Crafting a strategy and identifying high-impact opportunities at the intersection of climate and health for the India office of an international development group


The Executive Assistant will perform diverse administrative duties for members of Bridgespan’s core services leadership team in support of its work with global stakeholders, vendors, as internal teams. The Executive Assistant is an integral member of the Bridgespan administrative team and collaborates with other EAs to provide the best support and coverage possible for Bridgespan’s executive staff. This is an excellent opportunity to be part of a high-functioning administrative team while gaining a comprehensive understanding of the nonprofit sector.


Calendar Management

Schedule meetings, resolve conflicts, and prioritize commitments

Help Directors, Senior Directors prioritize and process new demands on their time

Arrange conference rooms, catering, presentation materials, and audio/visual setup as needed for meetings


Communications

Correspond with global stakeholders, internal advisory, core services, other admin team members, and vendors directly on behalf of the Directors and Senior Directors to schedule meetings, and act as representative and extension of them in communication to various stakeholders.

Draft, type, and proofread letters, memos, documents, presentations, and reports as requested, and coordinate with relevant teams to respond to incoming equests

Track correspondence with important relationships in contact management system

Receive, screen and route phone calls, mail, and correspondence for directors and senior directors as requested



Travel

Coordinate domestic and international travel arrangements including air, train, hotel, and ground transportation reservations and adjust reservations and any affected meetings as necessary

Provide logistic support to a team of individuals that are traveling (e.g., provide maps between locations, make group dinner reservations, etc.)

Compile itineraries

Where needed, help with procurement of visas and identifying other necessary pre-travel prep (e.g., vaccinations)


Admin Operations

Support the HR, DEI, Editorial, advisory, core services, and the admin team members in managing various business/team priorities.

Assisting in managing the company events, weekly team meetings and workshops Vendor Management

Visa Processing for Project/Business Tours

Assisting in overall coordination and floor operations


Other responsibilities

Compile and submit monthly time and expense reports for directors and senior directors.

Work with staff, venues, and vendors to coordinate complex meetings, convenings, team retreats, and social events

Collaborate with other secretaries on phone coverage, work sharing, and general team support

Assist internal teams with tracking correspondence and data

Perform research as needed

Perform other related duties as requested or as responsibilities dictate



Qualifications

Bachelor’s Degree or related experience is required

4-5 years of experience providing direct administrative or program support to organizations and executives

Comprehensive knowledge of computer software applications such as Microsoft Word, Excel, and PowerPoint, and ability to learn new technology quickly, is required

Outstanding written and verbal communication skills are required

Must be able to work both independently and as an integral member of various teams

Strong organizational skills and attention to detail

Ability to meet deadlines, prioritize assignments, juggle multiple tasks simultaneously and deal with highly confidential information

Interest in and enthusiasm for the nonprofit sector and the administrative field

Commitment to strong performance, high standard of accountability, and openness to feedback

Must be comfortable working in a fast-paced environment and calm under pressure

Must have an articulate, diplomatic, and highly responsive communication style

Must have a solution-oriented approach to conflicts

Must be highly adaptive to management styles and changing needs, reprioritizing tasks and projects as needed


Location and Remote Work Flexibility

All Bridgespanner’s joining in Mumbai are expected to work in the Bridgespan Mumbai office at least 3 days per week. This policy is designed to offer meaningful opportunity for in-person relationship building and mentorship, while also offering staff considerable flexibility.
