The Opportunity:
Cadence Leadership is looking for an Executive Assistant to the CEO to support the company’s day-to-day operations, manage the CEO’s calendar, prepare sales proposals, and coordinate client coaching and course delivery. This role is essential to maintaining the flow, structure, and reliability of our business. Cadence's EA to the CEO coordinates directly with clients and their assistants, and ensures all coaching schedules and course logistics are executed accurately and efficiently.
This role requires a high level of organization, attention to detail, and proactive ownership. The EA must be able to anticipate scheduling needs, manage competing priorities, and respond quickly to changes while maintaining a professional and client-ready standard at all times. Working closely with leadership and internal teams, the role ensures that all client interactions and operational systems run smoothly and without gaps.
Key Responsibilities:
Report to CEO and support day-to-day scheduling, coordination, and administrative needs
Manage and maintain the CEO’s calendar, including coaching schedules, client calls, and internal commitments
Maintain all CEO travel details and integrate them into calendar systems with precision.
Coordinate directly with clients and their EAs to schedule and confirm coaching engagements
Build and manage full coaching schedules, ensuring all sessions are accounted for and aligned with client commitments
Assist with sales proposal drafting and review
Monitor and maintain client data across internal tracking systems, ensuring accuracy and completeness
Handle reschedules and scheduling conflicts, maintaining continuity and minimizing disruption to client engagements
Coordinate course scheduling and logistics, including travel considerations and session requirements
Maintain the master client list and supporting systems, ensuring all records are up to date
Support inbound client and sales inquiries through accurate tracking and coordination with leadership
Provide weekly updates to leadership on scheduling, client activity, and operational issues
Other duties as assigned by the company
What We’re Looking For:
Minimum 3 years of experience in an Executive Assistant or similar role
Strong organizational skills with the ability to manage multiple priorities and shifting deadlines
High level of professionalism and confidence in client-facing communication (email and scheduling)
Strong written communication skills with attention to clarity and tone
Proactive mindset with the ability to anticipate needs and take action without constant direction
Strong problem-solving skills and sound judgment under pressure
Proven ability to operate effectively in a fast-paced, low-oversight environment
High level of accountability and ownership over assigned responsibilities
Proficiency in Microsoft Excel, Word, Outlook, and calendar management systems
Experience working remotely and managing a self-directed workload
Must be based in Vancouver, BC and legally able to work in Canada
Compensation:
Salary range: $85,000 CAD annually
Comprehensive benefits package after three months
