Primary objective
The position provides high-level executive coordination, governance, and project support to the Deputy Chief Executive ensuring
disciplined planning, consultation, reporting and implementation of priority reforms.
Key duties and responsibilities
1. Coordinate executive workflows including briefing, agendas, actions and maintain governance documentation/records and
decision registers.
2. Support delivery of workplans and projects including schedules, risks/issues and status reporting.
3. Research and draft high-level documents including analytical and performance reports, briefings, submissions and
correspondence, ensuring effective communication.
4. Establish and maintain reporting schedules and coordinate contract management and logistics requirements.
5. Provide secretariat support and maintain information and records control across the agency to ensure informed decision-making
and alignment with corporate governance frameworks.
6. Work autonomously and with internal and external stakeholders to contribute to and lead the delivery of projects and
programs within defined timeframes.
Selection criteria
Essential
1. Demonstrated ability to distil complex operational, organisational and policy information into clear, evidence-based options and
quickly identify implications and provide forward focussed recommendations.
2. Well-developed ability to deliver coordinated outputs within tight timeframes through disciplined planning, tracking and
follow-through; managing competing priorities, ensuring briefs, reports and project actions are accurate and timely.
3. Demonstrated ability to build productive relationships with internal and external stakeholders and resolve issues constructively
in a high-pressure frontline services environment.
4. Well-developed ability to produce clear, concise and well-reasoned executive documentation; tailoring messaging to diverse
audiences and present recommendations that support informed decisions.
5. Demonstrated professionalism, confidentiality and sound judgement in sensitive or high-profile matters, maintaining resilience
and composure in a changing environment.
6. Sound knowledge of contemporary project and governance frameworks, methodologies and processes to deliver complex
projects.
Desirable
1. Tertiary qualifications in Project Management, Human Resources, Public Administration, Business or related field.
2. Sound understanding of emergency-management structures and operating environments, or ability to rapidly obtain.
