• Key Responsibilities
- New facility setup, when required.
- Ensure smooth functioning of the existing facilities across locations on a day-to-day basis.
- Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment.
- Maintain stock levels and parts within budget.
- Ensure compliance with state and federal regulations and assist with energy management.
- Oversee security management of the facilities.
- Interaction & negotiation with vendors, contractors for procurement
- Support staff welfare activities
- Oversee and manage the day-to-day administrative operations.
- Office management & facilities maintenance.
- Lesioning with Govt. offices, banks, housekeeping & security agencies, vendor management, procurement, attendance mgt., manage employees file, organizing employees’ activities.
- Develop and manage the administrative budget, maintaining petty cash accounting. Monitor expenditures, identify cost-saving opportunities, negotiate contracts with suppliers, and ensure optimal resource allocation.
- Records and Document Management: Establish and maintain efficient systems for records management, document control, and information retrieval.
- Ensure compliance with legal and regulatory requirements related to data privacy and information security.
- Serve as a primary point of contact for internal and external stakeholders, including senior management, employees, clients, vendors, and service providers. Manage communication channels and facilitate effective information flow across the organization.
- Identify and mitigate potential risks, implement security measures, and conduct periodic audits or reviews.
- Build and maintain relationships with key stakeholders, including senior management, employees, external vendors, and service providers. Foster positive working relationships, address concerns or issues, and negotiate contracts or agreements when necessary.
- Review and reconcile billing data to ensure completeness and accuracy.
- Address and resolve billing discrepancies and issues in a timely manner.
- Ensure compliance with relevant legal and financial requirements.
- Calculating taxes and submitting tax returns to comply with the law.
- Auditing financial documents to ensure they are accurate and maintaining the confidentiality of the financial data.
• Qualifications
- Bachelor’s degree in commerce, Business administration, Management, or a related field (or equivalent experience)
- 2 - 3 years of experience in a Facilities and Accountant role, preferably in a similar industry
- Excellent organizational and time management abilities
- Strong problem-solving and decision-making skills
- Excellent communication and interpersonal skills
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Being accurate with numbers and having good quantitative skills
- Ability to communicate with clarity, both verbally and in writing
- Strong interpersonal skills to work in agile environments.
- Solid understanding of accounting software and basic accounting principles
- Advanced knowledge of Microsoft Excel
• Salary: ₹+,587.28 - ₹32,813.+5 per month
