An exciting opportunity to join our team and play an important role in the Victorian Academy of Teaching and Leadership (Academy).
About the Division
The Business Services Division (BSD) leads the provision of quality Academy corporate support services and functions (including procurement, project management and program governance, human resources and culture architecture, finance, facilities management and, risk, audit and reporting) which enable successful operation of the Academy. In addition, the BSD is responsible for the oversight, delivery and reporting of the compliance obligations required of a statutory authority.
About the Role
Please note this position is fixed term between the dates 1 January and 30 June 2026.
The Facilities Officer supports the Learning Spaces and Technology (LS&T) unit to manage the Academy's nine statewide learning facilities and staff accommodation to deliver a consistent and seamless participant and staff experience. This includes the efficient operation, maintenance and compliance of the Academy assets to deliver a consistent approach across sites to ensure the safety, wellbeing and security of staff and visitors.
Key accountabilities for this role include:
Stakeholder management and communications: Provide frequent and clear communication to Academy stakeholders, by collaborating and updating on all Facilities matters that may impact our professional learning events.
Asset management: Ensure all assets across the LS&T portfolio meet statutory servicing requirements and oversee reactive maintenance works.
Project management and support: Provide comprehensive project plans, incorporating Health and Safety, scope and program of works, cost estimates and achieve budgeted outcomes.
Contract management: Ensure supplier performance is in accordance with contract specifications
Program governance and compliance: Ensure all legislative, Government and department policies are met throughout all facilities management works.
Capabilities
Excellent written and verbal communication skills, an approachable customer service and flexible team focussed approach is critical to success in this position. An eye for detail is highly desirable to ensure our Professional Learning events can run unimpeded. An ability to work collaboratively, manage priorities and constructively work with stakeholders to support operational service delivery.
Desirable Qualifications and Experience
Experience working in a Facilities Management position within either a Government or Corporate environment essential
Experience with relevant legislation including Asset Management Accountability Framework (AMAF), Victorian Government Office Accommodation Guidelines, and Victorian Government Procurement policies will be advantageous as is Building Services knowledge.
Formal qualifications in Facilities or Project Management are desirable but not essential.
