Job Description
The Finance Manager is responsible for leading on DNDI South Asia office's accounting processes, audits and statutory compliances, grant management for projects in the region, upkeep and maintenance of financial records and collaborate with the regional and global team on budgets for the region. The role will also be responsible for the payroll in line with local compliances, internal and external reporting and any other financial process of South Asia entities. The position is key in ensuring that routine finance activities occur smoothly, accurately and in line with DNDI's policies and the local/regional regulations and laws.
The position is also accountable for leading and mentoring the finance and admin team to ensure timely delivery and adherence to the timelines, local and global policies, and statutory compliances.
As part of the global finance team, the person will engage in global projects as and when required.
Overall, the person is expected to act as the finance business partner for DNDi in the region, ensuring confidentiality in guaranteeing resources are spent adequately as well as respect of DNDi's overall policies and the national/regional legislation.
Specific job responsibilities
The candidate is expected to fulfil following responsibilities:
Accountancy and compliances
• Verify all journals and validate transactions in accounting system. Also ensures proper and timely submission to head quarter (HQ) of accounts and supporting documentation (SharePoint).
• Supervise the Finance Officer and ensure that all payments are done according DNDi' s financial policies and on due dates that banks, petty cash, are up to date in accounting system on a regular basis.
• Yearly revision of the Indian accountancy ensuring coherence with DNDi accounting system.
• Ensures that DNDi submits all due information for authorities (Ministry of Finance, RBI, Income Tax Authorities, etc.) as required on time, for all the legal entities operating in India.
• Be the focal point for Internal and external Audits.
• Accountable for compliance of DNDi's Fin-Admin guidelines/policies and ensure dissemination of knowledge with the team through periodic training.
• Accountable for statutory and regulatory compliances for DNDi LO, DNDi India Foundation and DNDi Private Limited, including (but not limited to) for TDS, GST, Board meetings, ROC, Income tax, periodic returns and submission of information.
• Responsible to produce the financial statements as per local regulatory requirements for all the entities in India
• Working with the local consultants for adherence to the timelines for compliances
• Responsible for managing transactions with the global sister organization and its budgeting requirements from the region.
• Required to understand financial and legal requirements, for each legal entities,
• With support of Head of Operations Prepare guideline for ensuring that each legal entity complies timely with all relevant tax, regulatory, and financial reporting requirements
• Support the Head of Operations to identify and manage financial risks that may impact each legal entity, such as fraud, transfer of funds between entities and with Geneva, tax risks etc.
• Review Check and control timeliness and completeness of the following taskscash and bank reconciliation on a monthly basis, prepared by Finance Officermonthly checklistIn-kind donation process is done as per the guideline (working close with project teams to respect deadlines)All fiscal obligations are met adequately and timely.Year end closing is properly done in respect of HQ deadline.
Budget
• Strong collaboration on the creation of the initial budget and its revisions for the region and all the projects within the region act as finance focal point for budget management matters.
• Check consistency of analytical allocation of expenses by project on a monthly basis. Alerts in case of budget over or underspending trend and/or high unforeseen expenses. Create and share periodic budget analysis for the projects within the region.
• Monitor budget follow-up and reporting on a periodic basis to local and global teams.
• Responsible for compliance with the timelines for budgets / forecasts creation and revision.
Grant management
• Coordinate with R&D, non-R&D and fundraising to develop the proposals for the projects both in region and global
• Review donors' contract before signature for compliance and share information with the relevant stakeholders (internal and external)
• Produce/prepare intermediate and final financial reports for submission to donors in collaboration with R&D, partners, and fundraising teams on time manner.
• Responsible to ensure DNDi reporting to Donors is compliant with the contract legal requirement, procurement process, and financial requirement.
• Prepare donor contribution payment requests and follow-up of the donors' payments delayed
• Liaise with fundraising team and other relevant stakeholders to prepare the donor audit and provide information to the teams
Team leading
• Lead and mentor the finance and admin team to ensure timely delivery and adherence to the timelines, local and global policies and statutory compliances.
Admin & HR
• Managing local procurement following DNDi policies and establishing a supply system for the projects.
• Accountable for payroll preparation along with statutory compliances of PF, TDS, and statutory accruals of leave and gratuity
• Maintaining the database of contracts and consultants of the regional office and working with the team responsible ensuring timely execution and renewal as needed.

• Works with Internal stakeholders: global team and the regional office colleagues, notably Research & Development, Advocacy & Communication, Fundraising and External stakeholders: auditors, bank, suppliers
• Collaborators, counterparts, and service providers are mainly in the functional area in and outside DNDi to get information, guidance, and feedback or to enlist cooperation. Works on the organization of representation of DNDi at smaller events and with external stakeholders of same equivalent level

• Minimum 10 years' relevant experience in which at least 4 years at team lead level

• Experience of working in both private and INGO sectors is highly desirable
Education
• Qualified Chartered Accountant or Masters in Accounting
Other requirements
• Fluency in English
• Proficiency in local languages desirable
• Very good knowledge of Microsoft Suite
