Front Office Secretary – Job Description
Position Overview:
The Front Office Secretary is responsible for providing professional administrative support while serving as the primary point of contact for customers. This role includes managing customer orders, coordinating shipping logistics, maintaining clear communication, and supporting sales efforts. The ideal candidate is highly organized, customer-focused, and fluent in both English and Spanish.
Key Responsibilities:
Customer Service & Communication
Answer and direct incoming phone calls in a courteous and professional manner.
Assist customers in both English and Spanish, ensuring clear and accurate communication.
Take and process customer orders, verifying accuracy and providing order confirmations.
Address customer inquiries, concerns, and follow-ups promptly.
Shipping & Logistics
Arrange and schedule shipping for customer orders, ensuring on-time delivery.
Set up shipping routes based on order requirements, cost efficiency, and delivery timelines.
Coordinate with shipping carriers, drivers, or logistics partners to confirm pickups and deliveries.
Track shipments and communicate status updates to customers as needed.
Sales Support
Make outbound sales calls to existing and potential customers to promote products or services.
Maintain updated customer records, order logs, and communication notes.
Support the sales team with administrative tasks such as preparing quotes, invoices, and documentation.
Administrative Duties
Greet and assist visitors, clients, and vendors entering the office.
Organize and maintain files, records, and office supplies.
Perform general office duties such as data entry, emailing, scheduling, and document preparation.
Qualifications:
Fluent in English and Spanish (written and verbal required).
Previous experience in customer service, front office work, or administrative roles preferred.
Basic knowledge of shipping processes or logistics is a plus.
Strong communication, organizational, and multitasking skills.
Proficiency with office software (Word, Excel, email platforms, and order-entry systems).
Professional demeanor and strong attention to detail.
