Job Description
We are seeking a detail-oriented and proactive HR Admin Executive to join our team. The ideal candidate will manage day-to-day HR operations, including attendance monitoring, leave management, recruitment coordination, and employee documentation. This role also includes administrative support and maintaining employee records, ensuring smooth HR operations and employee satisfaction.
Key Responsibilities:
1. Attendance & Leave Management
Monitor daily attendance, late comings, and absenteeism of all employees. Maintain and update attendance records accurately in HR systems or trackers. Manage and process leave applications, ensuring adherence to leave policies. Prepare monthly attendance and leave reports for payroll processing.
2. Recruitment & Onboarding
Source relevant CVs through job portals, social media, and recruitment agencies. Schedule and coordinate interviews with candidates and relevant departments. Follow up with candidates and interviewers for feedback. Prepare offer letters, appointment letters, and maintain recruitment records. Conduct onboarding process: document collection, orientation, and ID creation. Maintain a candidate database for future hiring needs.
3. Employee Records & Documentation
Maintain and update employee files, personal documents, contracts, and appraisals. Track probation periods, contract renewals, and confirmations. Ensure confidentiality and proper filing (digital/physical) of employee data.
4. General HR Administration
Address day-to-day employee queries related to HR policies and processes. Coordinate employee engagement activities and internal events. Prepare HR letters (salary slips, employment verification, etc.) Conduct exit process including clearance forms, handover, and exit interviews. Share regular HR updates and reports with the management team.
5. Other responsibilities
ID Creation and acquainting with Prowess software for filling timesheet, Assist Seniors to upload monthly work schedule and updates.
Required Skills & Qualifications:
Bachelor’s degree in Human Resources, Business Administration, or related field.
Proven experience (1.5 - 2 years) in HR administration or similar role.
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Proficiency in MS Office (Excel, Word) and basic HR software/tools.
High level of integrity and professionalism in handling confidential data.
